This position plays an important role in our business, combining bookkeeping, construction administration, and executive support. The right person enjoys a variety of responsibilities, takes ownership of their work, and is comfortable handling both routine tasks and unexpected needs.
Key Responsibilities
- Bookkeeping: Manage day-to-day bookkeeping, including accounts payable and receivable, invoice processing, bank and credit card reconciliations, and accurate financial records. Coordinate with our outside accountant as needed.
- Project financial support: Assist with project billing, job cost tracking, payment documentation, and collecting and issuing lien waivers.
- Contract administration: Help prepare, organize, and track owner contracts, subcontracts, purchase orders, change orders, and related project documents.
- Bonding and insurance: Coordinate bond requests and insurance documentation with our agents, maintain certificates of insurance, and track renewals and subcontractor coverage.
- Executive assistance: Support company leadership with scheduling, correspondence, document preparation, and follow-up on outstanding items.
- Office operations: Answer phones, assist visitors, manage incoming communications, order supplies, and keep office records organized.
- Team coordination: Communicate with project managers, field personnel, owners, subcontractors, and suppliers to keep information and paperwork moving.
- Employee onboarding and records: Coordinate new-hire paperwork, employment eligibility forms, benefit enrollment, and employee files.
- Payroll: Process payroll, review employee timecards, track paid time off and deductions, and maintain accurate payroll records. Coordinate payroll tax filings and reporting with our accountant or payroll provider, and prepare certified payroll reports when required by a project.
- Handle other administrative responsibilities as needed to support a busy construction office.
Qualifications
- Relevant bookkeeping and office management experience; accounting degree preferred but not required.
- Strong understanding of bookkeeping principles and financial recordkeeping.
- Proficiency with accounting software, Microsoft Excel, Word, and Outlook, with a willingness to learn new systems.
- Excellent attention to detail, organization, and follow-through.
- Ability to prioritize competing tasks and work independently.
- Professional communication skills and a helpful, practical approach to solving problems.
- Honesty, trustworthiness, and sound judgment when handling confidential financial, employee, and company information.
Who Will Succeed in This Role
We are looking for someone who takes pride in keeping an office running well. You should be comfortable wearing several hats, asking questions when needed, and following tasks through to completion. Just as important as your experience is your integrity, reliability, and willingness to support the team.
