Job Description:
Role Purpose
Support the on-time and compliant delivery of project materials and equipment in line with project schedules, contractual requirements, and customer expectations. The role coordinates logistics activities under the guidance of the Senior Supply Chain Planner and works closely with project, warehouse, quality, finance, suppliers, freight forwarders, and customers.
Key Responsibilities
· Logistics planning: Prepare and maintain logistics plans, shipment schedules, and supply chain documentation for internal stakeholders and customer submissions, including shipment authorization, Factory Acceptance Tests (FAT), joint inspections, and invoicing milestones.
· Transportation and freight management: Plan and coordinate domestic and international shipments across road, air, sea, and courier modes. Support carrier and freight-forwarder selection, obtain quotations, track shipments, and resolve delivery exceptions.
· Inbound inspection coordination: Coordinate goods-receipt and inbound appearance inspections, customer joint inspections, and other supply-chain-related inspection activities. Record discrepancies and follow up corrective actions with relevant teams.
· Inventory and warehouse coordination: Support receiving, storage, picking, packing, and distribution activities. Maintain inventory accuracy, coordinate space requirements, conduct cycle counts, and investigate stock variances.
· Shipping documentation and trade compliance: Prepare and verify packing lists, commercial invoices, transport documents, certificates, and customs-clearance information. Ensure activities comply with company procedures and applicable local and international customs and trade regulations.
· Operational control and reporting: Monitor shipment status, delivery performance, freight cost, inventory accuracy, and logistics risks. Maintain accurate data in SAP/ERP and provide clear status updates and escalation when milestones are at risk.
· Process improvement: Analyze operational data, identify cost and lead-time improvement opportunities, and support standardization and continuous-improvement initiatives.
· Administrative and financial support: Process order entries, freight and service invoices, Service Entry Sheets, and related records. Support document filing, audit readiness, and knowledge sharing within the team.
· Security and risk management: Ensure goods are packed, handled, stored, and transported securely. Identify logistics risks and support contingency plans for delays, damage, capacity constraints, and customs issues.
· RMA and reverse logistics: Manage return shipments for failed or defective equipment, including RMA registration, packaging coordination, shipping documentation, carrier selection, export, repair tracking, and re-import after repair.
Required Qualifications and Experience
· Bachelor’s degree or equivalent practical experience in supply chain management, logistics, international trade, business, or a related discipline.
· 3–5 years of relevant experience in logistics, freight forwarding, warehouse operations, project supply chain, or import/export activities.
· Working knowledge of SAP or another ERP system, including accurate transaction and master-data handling.
· Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
· Fluent English, with the ability to prepare business documents and communicate with international stakeholders.
Knowledge and Competencies
· Understanding of transportation processes, shipping documentation, Incoterms®, customs clearance, inventory control, and warehouse operations.
· Strong planning and coordination skills, with the ability to manage multiple shipments and priorities against project deadlines.
· Structured problem-solving skills, with the ability to anticipate risks, identify root causes, and drive timely follow-up actions.
· Clear written and verbal communication, with confidence working across functions, suppliers, logistics providers, and customers.
· High attention to detail, data accuracy, ownership, and compliance.
· Ability to work both independently and collaboratively in a project-driven environment.
Preferred Qualifications
· Experience with international project logistics, rail, industrial equipment, spare parts, or other engineered products.
· Practical knowledge of freight quotations, carrier performance management, cargo insurance, and dangerous-goods requirements where applicable.
· Experience supporting KPI reporting, cost analysis, cycle counting, or continuous-improvement activities.
Success Measures
· Shipments delivered on time and in accordance with project milestones.
· Accurate and complete shipping, customs, inspection, and ERP documentation.
· Inventory accuracy and timely resolution of discrepancies.
· Controlled freight costs and effective management of logistics exceptions and risks.
· Responsive, professional support to internal stakeholders, suppliers, logistics providers, and customers.
