RMIT Vietnam is seeking a Technology Vendor & Asset Coordinator oversees the full lifecycle of IT assets, ensuring accurate asset tracking, inventory control, compliance, and operational readiness across the organization. The role also coordinates technology vendors and service providers, monitoring performance, supporting procurement and contract activities, and driving continuous service improvement through data analysis and stakeholder collaboration.

POSITION SUMMARY
This role is responsible for the day-to-day operations of Technology asset management and vendor contracts, ensuring seamless workflow coordination across internal teams, external stakeholders, and technology vendors. Acting as a bridge between management and operational execution, the position proactively resolves operational gaps to consistently deliver high-quality IT Services.
Key Accountabilities Summary
Technology Asset Management
- Coordinate the procurement, tracking, lifecycle management, commissioning, and disposal of technology assets in accordance with organisational policies, governance requirements, and operational needs.
- Maintain the accuracy and integrity of technology asset records across CMDB, Workday, and associated asset management systems, including asset registration, tagging, stocktaking, lifecycle updates, and related data administration.
- Support the development, implementation, and continuous improvement of technology asset management processes, procedures, and inventory controls to enhance operational efficiency and compliance.
- Plan, monitor, and coordinate technology asset refresh cycles, stock levels, and forward planning activities in collaboration with business units and ITS stakeholders to ensure operational readiness and positive customer experience.
- Coordinate asset audits, reconciliation activities, and associated financial asset recharge and transfer processes with Finance and relevant stakeholders to ensure accuracy, accountability, and compliance.
- Analyse and monitor asset data, usage trends, and operational risks to support informed decision-making, lifecycle planning, and continuous improvement initiatives.
Vendor & Service Management
- Coordinate and monitor vendor and service provider performance to ensure services are delivered in accordance with agreed service levels, contractual obligations, and quality standards.
- Maintain and document vendor performance records, including formal performance feedback and reporting in alignment with RMIT procurement and governance requirements.
- Work closely with internal ITS teams and external service providers to coordinate the resolution of service issues, operational concerns, and vendor-related incidents.
- Develop and maintain effective working relationships with vendors, stakeholders, and service providers to support service delivery outcomes and operational continuity.
- Conduct service reviews, gather customer feedback, and analyse service performance trends to identify opportunities to improve staff and student experience.
- Monitor vendor compliance with contractual obligations and escalate potential risks, claims, disputes, or performance concerns as appropriate.
Contract, Procurement & Governance Support
- Support all ITS procurement and contract lifecycle activities including RFx processes, vendor engagement, contract renewals, payments, budget forecasting documentation coordination, and governance compliance in partnership with Finance, Procurement, Legal, and relevant business stakeholders.
- Develop and maintain reporting mechanisms, dashboards, and service metrics relating to asset management, vendor performance, operational status, and risk management activities.
- Identify, track, and report risks relating to technology asset management, vendor performance, compliance, and service delivery.
- Undertake other duties commensurate with the scope and classification of the role.
Key Selection Criteria
- A Bachelor’s degree relevant to business administration or relevant field
- Familiarity with ServiceNow CMDB or other IT asset management tools.
- Working knowledge with PowerBI or other similar reporting tools.
- Knowledge of IT End-User-Technologies (EUT) such as laptops/desktops, monitors. communication devices etc.
- Advantageous to have knowledge of mobile device management solutions.
- At least 4 year of work experience in managing services for a large, multi-faceted organisations.
- A proactive approach to planning, coordination and delivery of work.
- Excellent interpersonal and negotiation skills, including the ability to communicate effectively with a diverse range of stakeholders.
- Strong skills in coordination, organisation and customer/client liaison.
- Familiarity with asset management procedures.
- Proven conceptual and analytical skills, and the ability to formulate and evaluate policy options.
- Demonstrated knowledge and commitment to continuous improvement principles.
- Appointment to this position is subject to passing a Working with Children check.
- Ability to display appropriate behaviours in line with the position, RMIT Values and RMIT Leadership Model.
