ROLE SUMMARYThe Ward Clerk / Ward Secretary is responsible for full co-ordination of all administration within the Ward / Nursing Department. The Ward Clerk/ Ward Secretary is also responsible for receiving all new patients, visitors, and doctors in the ward and to make them feel welcome. The incumbent will further be required to assist the ward staff and the Unit Manager.
The Akeso Ward Secretary provides essential administrative and secretarial support to a hospital ward, ensuring efficient operations and effective communication within the healthcare team.
Responsibilities:**
* Manage and maintain patient records within the Hospital Information System (HIS), ensuring accuracy and confidentiality.
* Perform general office administration duties, including filing, photocopying, and handling correspondence.
* Schedule appointments, meetings, and procedures for medical staff and patients.
* Prepare and distribute ward reports, minutes, and other relevant documentation.
* Act as a point of contact for patients, families, and internal/external stakeholders, directing inquiries appropriately.
* Assist with ordering and managing ward supplies and equipment.
* Maintain a tidy and organised ward office environment.
* Support the nursing and medical staff with various administrative tasks as required.
Qualifications:**
* Proven experience in office administration or secretarial work, preferably within a healthcare setting.
* Proficiency in using Hospital Information Systems (HIS).
* Excellent organisational and time management skills.
* Strong communication and interpersonal abilities.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook).
* Ability to work independently and as part of a team.
* High level of accuracy and attention to detail.
* Discretion and an understanding of patient confidentiality./
