Are you passionate about workforce planning and operational excellence? We are looking for an experienced Roster Coordinator to oversee the end-to-end rostering process for a dynamic retail network of over 13+ locations and 60+ team members at Sydney Airport.

In this pivotal role, based at Sydney International Airport in Mascot, you’ll work closely with the State Manager to manage end-to-end roster planning and daily workforce coordination, ensuring staffing, breaks and coverage are aligned to flight patterns, PAX, trading requirements and changing operational demand. The role will ensure rostered hours remain within contracted hour requirements, budgets and relevant Enterprise and Collective Agreements, while managing team requests, availability and roster variances to maintain effective coverage across the airport. Your contributions will directly impact business continuity, employee satisfaction, and customer experience across the network.

As required, the role will provide frontline support as a Sales Consultant, assisting with counter coverage, customer service and sales performance across the airport.

 Key Responsibilities:

  • Own the end-to-end preparation, coordination and publishing of airport roster ensuring accuracy, compliance, and coverage.
  • Partner with Airport Leadership Team to identify roster efficiencies and opportunities to improve productivity and resource allocation.
  • Translate flight schedules and PAX forecasts into effective staffing plans across stores and trading period
  • Ensure workforce plans are up to date and reflect operational needs.
  • Monitor contracted hours and roster compliance, identifying and addressing variances in line with relevant agreements and policies.
  • Publish rosters at least three months in advance.
  • Liaise with payroll to ensure accurate time tracking via Definitiv.
  • Proactively manage team roster requests, availability, leave and shift changes while balancing business and colleague needs.
  • Resolve timesheet queries and minimise store closures.
  • Provide frontline Sales Consultant support when required to maintain coverage and support the customer experience.

About You:

  • Proven experience in rostering, workforce planning or coordinating teams across multiple locations.
  • Familiarity with rostering and workforce planning systems (e.g., Definitive, Kronos, Human Force).
  • Strong Microsoft Office skills, with a focus on Excel.
  • Exceptional organisational, communication, and stakeholder management skills.
  • Ability to make timely, effective decisions in a fast-paced environment.
  • Key eye for detail and accuracy
  • Strong communication and relationship-building skills, with the ability to manage team requests and work effectively with colleagues and leadership
