Order Management Representative
Location: Cerritos, CA
Position Summary
The Order Management Representative plays a critical role in delivering an exceptional customer experience by ensuring accurate and timely execution of the order fulfillment process. This position serves as a key liaison between customers, suppliers, distributors, and internal teams to process orders, manage order status, resolve inquiries, and support sales operations. The ideal candidate is detail-oriented, customer-focused, and able to thrive in a fast-paced environment.
Essential Duties & Responsibilities
- Process customer orders with suppliers and distributors accurately and efficiently.
- Review orders for compliance with pricing, terms, conditions, and delivery requirements.
- Manage backlog reports and open orders within GST systems and customer portals.
- Monitor, track, and follow up on quote logs and open order activities.
- Process Return Merchandise Authorizations (RMAs) and ensure timely resolution.
- Respond to customer inquiries and provide proactive order status updates.
- Identify customer needs and deliver high levels of customer satisfaction.
- Manage day-to-day customer service requests and operational inquiries.
- Assist the sales team with customer Requests for Quotes (RFQs), including response preparation and documentation.
- Support order management processes to ensure operational efficiency and accuracy.
- Collaborate with internal departments, suppliers, and customers to resolve order-related issues.
- Perform additional customer service, administrative, or operational duties as assigned.
Qualifications
Education & Experience
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Minimum of two (2) years of experience in customer service, sales support, order management, business operations, or a related field.
- Experience working with suppliers, distributors, procurement processes, or order fulfillment preferred.
- Experience preparing price quotes and managing large volumes of data is a plus.

- Ability to analyze information, think critically, and solve problems independently.
- Excellent verbal and written communication skills.
- Strong customer service orientation with a commitment to responsiveness and professionalism.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Strong time-management skills and the ability to meet deadlines.
- Flexible and adaptable, able to quickly adjust to changing priorities.
- Ability to work both independently and collaboratively within a team environment.
