Responsibilities:
1. Office Administration
- Manage daily office operations and maintain a productive work environment.
- Coordinate office supplies and inventory management.
- Handle incoming correspondence, mail, and courier services.
- Maintain office records, documentation, and filing systems.
- Support scheduling of meetings and conference rooms.
2. Facilities Management
- Coordinate office maintenance and repair activities.
- Liaise with building management and service providers.
- Ensure workplace safety and office housekeeping standards.
- Manage office equipment and asset tracking.
3. Travel & Event Coordination
- Arrange business travel, including flights, hotels, and transportation.
- Prepare travel itineraries and expense documentation.
- Support company events, meetings, and employee engagement activities.
- Coordinate logistics for internal and external events.
4. Employee Support
- Assist employees with administrative inquiries and requests.
- Support onboarding logistics for new hires.
- Coordinate employee access cards, workstations, and office resources.
- Maintain employee contact information and organizational directories.
Qualifications:
Education- Bachelor's degree in Business Administration, Management, Human Resources, Finance, or a related field.
- Associate degree or equivalent experience may be acceptable for some organizations.
- Typically 1 to 5 years of experience in administrative, office management, HR administration, facilities, or operations support roles.
- Experience in a multinational or fast-paced corporate environment is often preferred.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams).
- Experience with expense management, procurement, travel booking, and document management systems.
- Familiarity with ERP or HR systems such as SAP, Workday, Oracle, or SuccessFactors is a plus.
- Ability to prepare reports, presentations, and administrative documentation.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong attention to detail and accuracy.
- Problem-solving and decision-making skills.
- Customer-service mindset with the ability to support employees and stakeholders.
- Ability to maintain confidentiality and handle sensitive information.
