About the Role
We are seeking a high-caliber Executive Assistant to support the Founder of a fast-moving investment firm and serve as a trusted execution partner.
This is not a junior or task-based EA role. The ideal candidate brings strong business judgment, polished communication, discretion, and the ability to operate independently in a fast-paced and ambiguous environment.
The role will initially focus on high-level executive support, with the opportunity to expand into operations, project coordination, and broader business support as the firm grows.
Key Responsibilities
Executive Support
- Manage and prioritize the Founder's inbox, including high-judgment filtering and drafting
- Own complex calendar management across investors, LPs, advisors, and counterparties
- Coordinate meetings across multiple time zones
- Manage travel, accommodations, and related logistics
- Serve as a polished, professional external representative of the firm
Communication & Stakeholder Management
- Draft and manage professional correspondence with high-net-worth individuals, fund partners, advisors, and counterparties
- Ensure all communications are clear, precise, professional, and appropriately human
- Exercise discretion and sound judgment when handling sensitive information and relationships
Personal & Administrative Support
- Provide light personal administrative support, including appointments, reservations, and logistics
- Seamlessly coordinate personal and professional commitments within the Founder's schedule
Operations & Project Support
As trust and context build, responsibilities may expand to include:
- Supporting operational processes and documentation
- Coordinating with fund administrators, finance teams, and external advisors
- Supporting LP meetings, events, and related materials
- Assisting with light project management, including PR coordination and internal workflows
- Acting as an execution partner to the internal operations lead
Qualifications
Must-Have
- Native or near-native English fluency, both written and spoken
- Experience supporting senior executives, founders, investors, or other high-level professionals
- Exceptional organizational skills and attention to detail
- Strong professional polish, discretion, and business judgment
- Ability to work effectively with ambiguity, shifting priorities, and limited direction
- Calm and composed under pressure
- Proactive mindset with the ability to anticipate needs and take initiative
- Excellent written and verbal communication skills
Strong Plus
- Experience in finance, private equity, venture capital, fintech, or professional services
- Exposure to investor relations or LP communications
- Experience coordinating with external vendors, advisors, or other stakeholders
- Interest in growing into broader operations and project management responsibilities
