Job Description
Sales Support Associate - Private Wealth
The Sales Support Associate - Private Wealth is a vital member of Landmark Properties Private Wealth team, responsible for enhancing operational efficiency and enabling our sales team to focus on capital-raising from RIAs and family offices for private real estate investments, LP funds, and Opportunity Zone fund.
The Sales Support Associate partners with the distribution team to deliver exceptional client service, manage administrative tasks, and maintain a clean, sortable CRM database to drive prospect targeting and sales efficiency. The role is designed to allow the sales team to dedicate 100% of their time to high-value selling activities by offloading repetitive tasks and ensuring no opportunities are missed due to disorganization or poor data quality.
Reports to: Managing Director – Private Wealth
Direct Reports: None
Duties/Responsibilities: The duties listed below are an outline of the role’s responsibilities and should not be considered an all-inclusive list. As the needs of the organization change, these duties may be modified as needed.
- Identify and prioritize hot prospects daily by pulling and synthesizing data from third party platforms, then surface the highest-potential RIAs and family offices to the distribution team through clean, actionable lists and dashboards.
- Support the sales team with administrative and operational tasks including completing Due Diligence Questionnaires (DDQs), coordinating meeting materials, managing follow-up tracking, assisting with fundraising event planning, and handling investor account inquiries to keep the sales team focused on selling.
- Maintain rigorous activity tracking and follow-up systems so no high-potential prospect falls through the cracks; run weekly activity reviews and provide clean summaries to leadership.
- Own CRM data quality and structure for the distribution team — ensuring Account and Contact records are clean, properly tiered (A/B/C), tagged by product interest, and optimized for territory management and prospecting.
- Build and maintain CRM list views, reports, and dashboards that give reps clear daily priorities — who to call, which product they’re interested in, and where they are in the process.
- Organize and segment investor data to maximize the impact of Landmark’s real estate products for the sales team.
- Serve as the bridge between the sales team and internal operations, data analytics, and investment teams to ensure distribution has the information and support needed.
- Assist with meeting materials, pitch decks, and one-pagers for sales meetings and roadshows; coordinate investor information and follow-up to move prospects through the pipeline.
- Develop deep knowledge of Landmark’s real estate investment processes to provide white-glove service to Financial Advisors, supporting their capital allocation decisions.
- Stay current on private real estate strategies, competitor offerings, and market trends to help reps position Landmark effectively against alternatives.
- Collaborate with the Head of Private Wealth on technical integrations (API data flows) and provide market feedback from the field.
- Continuously improve processes, playbooks, and enablement materials to help the sales team operate at the highest level.
Education & Experience
- 4+ years of experience in financial services, sales operations, sales enablement, or a technical support role. Experience supporting a sales team in asset management, private markets, or RIA distribution strongly preferred.
- Bachelor’s degree in Finance, Real Estate, Business, or a related field.
- Familiarity with private real estate, development, DSTs, or alternative investments is a plus.
- Demonstrated experience working with CRMs, data from multiple systems, building reports/dashboards, and supporting quota-carrying sales professionals.
Preferred Knowledge, Skills, & Abilities
- Strong hands-on experience with CRMs (data quality, list views, reports, and basic dashboarding).
- Advanced proficiency in Microsoft Excel (pivot tables, data analysis, VLOOKUP/XLOOKUP) and comfort with data from multiple platforms.
- Experience building reports and dashboards is highly valued.
- Self-motivated with a results-oriented mindset and a passion for sales
- Ability to thrive in a fast-paced environment and adapt to changing market conditions
- Strong problem-solving skills with a focus on delivering exceptional customer service
- A collaborative team player who values diverse perspectives and fosters an inclusive environment
