The Administrative Specialist will be responsible for a variety of administrative and Plant cost tasks. This position is the representative of first impressions for the organization and a professional appearance and demeanor are critical.
This job requires “wearing many hats”, and the individual will need to think with agility and focus while organizing how to successfully respond to scheduled and unscheduled tasks. We seek someone that wants to grow with us and into a career!
The Admin will support visitor events; use SAP programs to understand Cost trends; utilize Excel, Word, and Powerpoint to run required Headcount reports, financial analysis and basic EBITDA forecasts; maintain and organize plant files for Cost and HR administration; and be a key liaison between all department leaders and the Plant Manager.
We are hiring for on-site, 5-day Monday to Friday position located in a manufacturing plant. Although the Admin will have an office, the individual should be comfortable working in proximity to sustained, loud production machines. Along with a passion for learning and natural curiosity about technology, equipment, and engineering located in the Plant, a very cool leadership team and crew will create an outstanding, vibrant and engaging work environment.
The primary duties of an Administrative Specialist include:
- Daily: Follow established policies, procedures and recognized practices.
- Daily: Update notably Labor Cost performance, for Win / Loss condition at Tier II.
- Daily: Review production report and sign off to Regional that production is posted correctly.
- Daily, use Excel and SAP programs to gather information for key labor and variable spending.
- Daily: Post Goods and Services receipts into SAP
- Weekly: Review of GR and IR reports, and corrective work to clear non-Reconciling items
- Weekly: complete the Weekly Payroll package with deliverable to HR Compensation.
- Weekly, 100% count of raw, WIP, and FG inventory. Post Adjustments to SAP.
- Weekly: Create Purchase Requisitions into SAP Arriba. Responsible for maintaining Arriba orders.
- Weekly: Update Units forecast, create Flash for Month, update Sharepoint with Plant Manager.
- Monthly: Close the Plant financials; post basic accounting entries; and explain variances.
- Monthly: Work with Plant Leadership team to identify CAPEX spending and Asset actions.
- At any time: Provide office support to Plant personnel; support and host VIP visits (meals, etc.)
- At any time: Assist Plant Manager in team engagement or Plant assignments.
- Payroll processing, time & attendance tracking. Backup support to Human Resources.
- 0-25% travel may be required.
Qualifications
A High School Diploma or equivalent required. A minimum of 2 to 5 years in administration, preferably in a manufacturing environment.
Administrative Specialists are required to interact with managers, employees, vendors, and customers. Therefore, the following skills and proficiencies are also essential requirements of the position:
- Ability to maintain regular, predictable, and punctual attendance.
- Computer usage and typing skills are essential. Should be skilled with 10-key.
- Excellent verbal and written communication, including the ability to effectively communicate with internal and external customers.
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
- Communicates effectively: conveys facts and information clearly both verbally and orally.
- Collaborates well with others: proactively contributes to group objectives; volunteers to help others.
