Service Scheduling Coordinator
Job Summary
Nidec Minster Corporation has an immediate opening for a Service Scheduling Coordinator. The primary role is to support the daily operations of the Service Department through coordination of Field Service Technician scheduling, travel logistics, fleet administration, mobile device management, onboarding activities, reporting, and other critical administrative functions. The ideal candidate will be highly organized, customer-focused, and capable of managing multiple priorities in a fast-paced environment.
Job Responsibilities
- Coordinate and maintain the SAP Schedule Board for Field Service Technicians.
- Schedule and dispatch technicians to customer sites, updating assignments based on customer and business requirements.
- Confirm service jobs, dispatch work orders, and manage scheduling changes.
- Create and maintain job holds, service assignments, and assignment closeout activities.
- Coordinate domestic and international travel arrangements through Concur including flights, hotels, rental vehicles, and other travel accommodations.
- Manage travel logistics and support emergency itinerary changes when required.
- Coordinate passport and visa requirements for international travel. .
- Support the weekly ADP timecard approval process for Field Service Technicians.
- Generate and maintain Field Service utilization and operational reports.
- Process and coordinate approval of travel-related invoices, including hotels, airlines, toll services, and other vendor expenses.
- Administer company-wide mobile devices and asset tracking systems.
- Coordinate company vehicle assignments, maintenance schedules, repairs, licensing, etc.
- Coordinate onboarding activities for new service employees.
- Support department purchasing activities, including supply ordering, tool purchases, and corporate credit card transactions.
- Maintain accurate service records, reports, and departmental documentation.
- Provide administrative and operational support to service leadership and field personnel.
- Support continuous improvement initiatives and special projects as assigned.
- Other job duties as assigned.
Qualifications
- High school diploma/GED required. Associates degree preferred, but not required.
- Minimum three years of experience in scheduling, service administration, operations support, travel coordination, or related administrative functions.
- Prior experience with SAP, Concur, ADP, or similar business systems preferred.
- Strong organizational and time management skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent oral and written communication skills, high level of attention to detail and accuracy.
- Strong customer service and interpersonal skills.
- Ability to work effectively with minimal supervision.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
