A Day in the Life
The Costumer Specialist will be responsible for providing comprehensive support to healthcare professionals, healthcare organizations, and internal stakeholders by managing operational processes, including contracting, payment processing, grants, donations, documentation, and cross-functional coordination with Legal, Compliance, Medical Education, Sales, Marketing, and other internal partners.Responsibilities may include the following and other duties may be assigned:
· Manage requests related to grants, donations, contracts, sponsorships, honoraria, and payments
· Ensure compliance with internal policies, compliance processes, and applicable regulations
· Coordinate reviews, approvals, and documentation with cross-functional teams
· Monitor payments, deliverables, closeout documentation, and reconciliations
· Maintain documentation integrity, process traceability, and quality standards
· Coordinate HCP/HCO-related programs and projects
· Participate in medical education activities and events
· Identify opportunities to improve process efficiency, consistency, and transparency
· Support audits, reporting activities, and regulatory requirements
Required Knowledge and Experience:
· Bachelor’s degree with a minimum of 2 years of relevant experience supporting operational, administrative, program coordination, or shared services activities within a regulated environment
· Experience managing documentation, contracts, payments, approvals, requests, and workflow tracking processes while ensuring accuracy, compliance, and documentation integrity
· Proven ability to coordinate activities and collaborate effectively with multiple cross-functional stakeholders across different functions and organizational levels
· Experience working with enterprise systems, data tracking tools, and business platforms to support process execution, reporting, and operational efficiency
· Strong attention to detail, organizational skills, and ability to manage multiple priorities in a compliance-driven environment
· Experience within the medical device, pharmaceutical, healthcare, or similarly regulated industries is preferred
· Knowledge of HCP/HCO engagement processes, including contracting, honoraria, grants, donations, sponsorships, and payment administration
· Understanding of healthcare compliance requirements and regulatory standards related to HCP/HCO interactions
· Experience supporting audits, regulatory documentation, reporting activities, and process controls
· Proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Outlook) and experience using contracting, payment, or workflow management systems such as SAP, Ariba, Veeva, Concur, or similar platforms
· Strong stakeholder management, communication, and coordination skills, with the ability to work effectively in a fast-paced, cross-functional environment
· Proficient in English
