Job Summary

Join a compassionate, collaborative clinical team where your organization, communication skills, and patient-first mindset help create a seamless experience for patients and providers every day. In this role, you will support busy Spine and Pain Management services by coordinating key administrative functions, helping patients navigate appointments, and serving as a trusted resource within the practice.

Our Spine team provides advanced, research-backed surgical and non-surgical care for patients with cervical, thoracic, and lumbar spine conditions. Our Pain Management Service delivers compassionate, team-based care for patients experiencing acute, chronic, and cancer-related pain. Together, these teams use a multimodal, multidisciplinary approach to create personalized treatment plans focused on improving comfort, function, and quality of life.

What You’ll Do
• Support smooth and efficient practice operations by performing both administrative and clinical support functions under minimal supervision.
• Manage patient visit workflows, including scheduling, check-in, check-out, appointment records, and routine patient inquiries.
• Assist with patient billing forms, scanning documents into the medical record, and maintaining accurate documentation.
• Serve as a resource and “Super User” for scheduling, registration, and billing systems.
• Provide assistance, guidance, and training to Office and Practice Assistants.
• Partner with the Supervisor to support daily practice operations and help coordinate staff activities.
• Handle phone calls, messages, prior authorization requests, provider questions, prescription refill inquiries, and test result communications as appropriate.
• Perform more complex scheduling functions, which may include surgical scheduling, schedule changes, or schedule blocking.


 

Qualifications

What We’re Looking For

  • High School Diploma or equivalent required.
  • 3–5 years of office experience required.
  • Strong technology skills, including advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Knowledge of office operations, standards, and procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to manage non-routine phone calls, solve routine issues, and communicate clearly with patients, providers, and team members.
  • Strong written communication skills, including the ability to compose, edit, and proofread emails, memos, letters, and other documents.
  • Excellent organization and time management skills with the ability to manage multiple priorities effectively.
  • A collaborative, professional approach and a commitment to supporting high-quality patient care.
