Job Summary

In this role, you will support busy Spine and Pain Management services by coordinating key administrative functions, helping patients navigate appointments, and serving as a trusted resource within the practice.Why Join Us?
Our Spine team provides advanced, research-backed surgical and non-surgical care for patients with cervical, thoracic, and lumbar spine conditions. Our Pain Management Service delivers compassionate, team-based care for patients experiencing acute, chronic, and cancer-related pain. Together, these teams use a multimodal, multidisciplinary approach to create personalized treatment plans focused on improving comfort, function, and quality of life.
What You’ll Do
• Support smooth and efficient practice operations by performing both administrative and clinical support functions under minimal supervision.
• Manage patient visit workflows, including scheduling, check-in, check-out, appointment records, and routine patient inquiries.
• Assist with patient billing forms, scanning documents into the medical record, and maintaining accurate documentation.
• Serve as a resource and “Super User” for scheduling, registration, and billing systems.
• Provide assistance, guidance, and training to Office and Practice Assistants.
• Partner with the Supervisor to support daily practice operations and help coordinate staff activities.
• Handle phone calls, messages, prior authorization requests, provider questions, prescription refill inquiries, and test result communications as appropriate.
• Perform more complex scheduling functions, which may include surgical scheduling, schedule changes, or schedule blocking.
Qualifications
What We’re Looking For
- High School Diploma or equivalent required.
- 3–5 years of office experience required.
- Strong technology skills, including advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
- Knowledge of office operations, standards, and procedures, including filing, copying, scanning, printing, and faxing.
- Ability to manage non-routine phone calls, solve routine issues, and communicate clearly with patients, providers, and team members.
- Strong written communication skills, including the ability to compose, edit, and proofread emails, memos, letters, and other documents.
- Excellent organization and time management skills with the ability to manage multiple priorities effectively.
- A collaborative, professional approach and a commitment to supporting high-quality patient care.
