Job Title: Parks Department Fleet Coordinator

Department: Parks and Facilities

Classification: Part-Time, Non-Exempt

Salary Range: $16.00 - $21.00/HR DOQ

IMRF Position: Yes

Directly Reports to: Operations Support Supervisor



DESCRIPTION

Under the direction and supervision of the Operations Support Supervisor, the Fleet Coordinator is responsible for providing administrative support to the Parks Department as it relates to the maintenance and operation of its fleet of vehicles, inspections, and equipment. Hours may vary. This position is IMRF (Illinois Municipal Retirement Fund) eligible. The ideal candidate for this newly created position must be a highly organized, highly motivated, positive, team player who is customer focused.

Requirements

  1. Must be 18 years of age or older and a High School graduate or General Education Degree (GED) required.
  2. Should have at least two years of previous office experience.
  3. Requires accurate keyboarding skills, use of technology computers, phones, iPad, and proficiency with the MS Office Suite, i.e., Word, Excel, PowerPoint, and Outlook with the aptitude to learn other systems.
  4. Past experience in office work, managing an inventory control system, fleet or work order system preferred.
  5. Must have strong and effective verbal and written communication skills.
  6. Must be comfortable speaking to staff and/or vendors.
  7. Work independently and perform various duties for the Parks and Facilities Department.
  8. Must have a strong attention to detail, manage multiple work orders, emergency repair scheduling, detailed parts searches, and recalls.
  9. Must have a valid Illinois Driver’s “D” License.
  10. Ability to obtain a Class C Non-CDL license within 12 months of hire.
  11. Ability to obtain forklift certification within 6 months of hire.
  12. Must have knowledge of equipment. 


ESSENTIAL FUNCTIONS/RESONSIBILITIES

  1. Organization and maintenance of fleet department areas.
  2. Create work orders, monitoring work orders, managing fuel management system, maintaining fleet work order system, ordering parts, maintaining acceptable inventory levels or parts.
  3. Inspection of vehicles and equipment used daily.
  4. Purchase items for the Parks Department staff.
  5. Track and document all fleet repairs and service work.
  6. Monitor the district’s fleet and equipment assets from purchase to disposal and provide all necessary reporting.
  7. Coordinate preventative maintenance schedules for all vehicles and equipment as needed.
  8. Maintain and update fleet and equipment asset lists.
  9. Order vehicle and equipment parts.
  10. Coordinate pickup or delivery of vehicle and equipment parts.
  11. Provide support unloading shipments and checking inventory.
  12. Assist with pickup and delivery of equipment and supplies to support staff.
  13. Generate and provide fleet and equipment reports.
  14. Will be responsible for managing equipment and vehicle claims, equipment and vehicle warranties and equipment and vehicle recalls.
  15. Provide administrative and data entry support.
  16. Performs related work directed by the Operations Support Supervisor.


ENVIRONMENTAL CONDITIONS

  1. Employee is exposed to indoor conditions – heat/air conditioning, fluorescent lighting.
  2. Employee may be exposed to outside weather conditions including extreme heat and humidity, cold, snow and rain.
  3. Employee may sit for long periods of time doing computer-related work.
  4. Employee’s general work area is indoors in a smoke-free environment with controlled temperature and some fluorescent lighting.
  5. Employee may be exposed to noise distractions from employees or equipment in adjacent work areas.


PHYSICAL REQUIREMENTS

  1. Some bending, kneeling crouching, crawling, and reaching items off floor, under desks, and off of shelves. 
  2. Lift and move computer equipment, printers, storage boxes, etc. of up to 50 lbs. 
  3. Lift heavier objects, supplies, and materials with assistance from another team member or job-specific equipment. 
  4. Climb ladder to reach supplies or storage boxes on high shelves. 
  5. Perform repetitive hand/arm movements as when working on a calculator or computer keyboard. 
  6. Sitting for sustained periods of time while completing work at desk or workstations. 
  7. Reading handwritten information and writing legibly. 
  8. Ability to handle mental stress to cope with multiple tasks, deadlines, and situations with dissatisfied staff, vendors, etc. 
  9. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception. 
  10. Employee may be exposed to noise distractions from employees or equipment in adjacent work areas.
