Description
The HR Specialist will report directly to the Senior HR Generalist to support the administration of benefits and leaves of all types, following through with vendor and employee needs to smooth transitions, changes, the flow of information, and accuracy of records and reports. Secondarily, the HR Specialist will support the VP of HR and team on employee selection coordination and on/offboarding tasks across all regional offices.
This role creates opportunity for an HR Specialist to expand their HR, industry, and company-level experience into a broader role in HR including comp and benefits, leave administration, performance management, employee relations, talent acquisition and retention, and beyond.
Primary Duties & Responsibilities
- Administer the Company's employee benefits programs, including enrollments, qualifying life events, Open Enrollment, employee communications, benefit reconciliations, and serving as the primary employee resource for benefits-related questions.
- Coordinate and administer employee leave programs, including FMLA, CFRA, Pregnancy Disability Leave, Workers' Compensation coordination, ADA accommodations, and other federal and California leave requirements while maintaining accurate documentation and regulatory compliance.
- Prepare, maintain, and assist with required federal, state, and local HR compliance reporting, audits, recordkeeping, and employment documentation to ensure compliance with applicable laws and company policies.
- Assist the VP of Human Resources and regional office hiring managers with job candidate sourcing, screening, and interview scheduling, along with subsequent onboarding tasks.
- Assist the Senior HR Generalist with HRIS administration, including maintaining employee data integrity, supporting system updates, generating reports, troubleshooting employee issues, and assisting with HR technology initiatives and process improvements.
- Assist the Senior HR Generalist in coordinating relationships with HR vendors, insurance carriers, brokers, third-party administrators, HRIS providers, and other service partners to support effective administration of HR programs.
- Conduct periodic audits of employee records, benefits, leave administration, payroll deductions, personnel files, and HR data to ensure accuracy, compliance, and operational efficiency.
- Provide general Human Resources administrative support, including onboarding and offboarding activities, employee communications, maintaining HR forms and records, coordinating training logistics, supporting department projects, and delivering responsive customer service to employees and managers.
- Perform other duties and special projects as assigned.
Requirements
Preferred Knowledge, Experience and Capabilities
- Strong communication and coordination abilities across multiple office locations.
- Benefits administration through an HRIS platform and experience with alternative funding a plus.
- Strongly prefer experience with Paylocity HRIS and payroll platform.
- Leave and Workers Comp administration.
The ideal HR Specialist is a person who can think through policies and practices, understand manager and employee implications, long-term effects on talent attraction and retention, employment costs and liabilities, then make good judgements, bring the right things to the right people's attention, take the right actions, and then follow-up and make recommendations and adjustments as needed.
