Position Information:

NWHSU is seeking a highly organized, collaborative, and detail-oriented Administrative Assistant to provide high-level administrative and operational support to the Deans of the College of Acupuncture and Chinese Medicine, College of Health and Wellness, and College of Chiropractic. This is more than just a support role - it's an opportunity to be at the heart of academic leadership, helping shape and streamline initiatives that drive the university's mission forward. This position involves serving as a key partner to academic leadership, helping to ensure the effective coordination of day-to-day operations, academic initiatives, accreditation activities, and student and faculty support. The ideal candidate will bring strong organizational, communication, and critical thinking skills to a role that contributes to student success, supports academic excellence, and advances NWHSU's institutional goals and mission.

Work Location: Bloomington, MN with the flexibility to work 1-2 days per week remotely; must live local and be able to come to campus as needed

Duties:

  • Provide comprehensive administrative support to the Deans, including calendar management, meeting coordination, records management, and travel arrangements.
  • Coordinate Dean led meetings, initiatives, and events, including agendas, meeting minutes, room reservations, logistics, social events, and recognition activities.
  • Provide administrative support for academic operations and continuous course improvement initiatives, including course materials, student learning materials, scheduling, and exam coordination.
  • Support accreditation activities, including planning, site visit coordination, report preparation, documentation, and maintenance of accreditation materials.
  • Coordinate and facilitate academic communications and administrative processes, including Dean's List communications and distribution.
  • Maintain and organize academic and course-related documentation and collaborate with faculty and academic staff to ensure accuracy, completeness, and accessibility of records.
  • Enter, maintain, and monitor academic data, including board exam results, course evaluations, and other key program metrics.
  • Compile and organize data for accreditation, program evaluation, and institutional reporting, ensuring the accuracy and integrity of academic and administrative information.
  • Assist with analysis and reporting of student and program data to support academic planning, evaluation, and informed decision-making.
  • Maintain confidentiality of sensitive student, faculty, academic, and administrative information.
  • Perform other duties and responsibilities as assigned.

What you need to have?

  • High school diploma or GED, required
  • Associate's degree, preferred
  • 1-2 years administrative experience, required
  • Demonstrated ability to handle confidential information and sensitive conversations with professionalism, discretion, and sound judgment.
  • Commitment to fostering a respectful, inclusive, and supportive environment for students, colleagues, and team members.
  • Strong written, verbal, interpersonal, and presentation skills.
  • Strong organizational and project management skills, with the ability to prioritize and successfully manage multiple projects.
  • Demonstrated critical thinking, systems thinking, and problem-solving skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Proven ability to work effectively both independently and collaboratively as part of a team.

Compensation:

$21.00 - $26.00 per hour.

The hiring rate is determined by a combination of education, related professional experience, and internal equity considerations and may exceed the posted range. NWHSU is committed to fair and equitable pay practices and does not base compensation decisions on gender or any other protected status.
