Staffstream is hiring a Rostering Coordinator for an Australian NDIS disability support provider, delivering Supported Independent Living (SIL) housing and other support services to participants. This is a 6-month contract role with a genuine possibility of extension.
You'd own the day-to-day rostering function: keeping shifts covered, timesheets accurate, and participant preferences properly reflected, so support workers show up where they're needed and participants get consistent, reliable care. You'd report to the Head of Service Delivery, working closely with the Directors and General Manager. This role is open to candidates based in the Philippines.
What you will actually do
Roster management and shift coverage
- Maintain and update core rosters built around consistent support worker teams and regular set shifts.
- Manage and fill shifts when support workers lodge leave requests or become unavailable, keeping disruption to participant support to a minimum.
- Handle last-minute changes calmly and efficiently, staying on top of multiple shifting priorities without letting anything slip.
Timesheets and payroll support
- Review and confirm timesheet accuracy and correct coding before fortnightly payroll processing.
Participant and support worker records
- Keep participant support worker preferences up to date in the CRM system (Visual Care), so rosters genuinely reflect individual needs.
- Support workers to regularly update and manage their own availability within the CRM system, keeping records accurate.
- Confirm new support workers have access to the Visual Care app and can view their assigned roster and shifts as part of onboarding.
Core roster development and communication
- Collaborate with the intake team to build core rosters and roster series for new participants signing up for support services.
- Email shift changes and copies of fortnightly rosters to participants and their families, keeping communication clear and timely.
What you need to bring
- Genuine, hands-on experience using Visual Care as a rostering or CRM platform. This is non-negotiable for the role.
- Real experience within the NDIS and disability service sector. This is non-negotiable, not just general healthcare rostering experience.
- Direct experience rostering specifically for Supported Independent Living (SIL) housing, not just disability support rostering more broadly. This is also non-negotiable.
- Proficiency with Google Workspace, including Gmail and Google Drive.
- Strong problem-solving skills, with a genuine ability to manage last-minute roster changes efficiently and calmly.
- Excellent communication and interpersonal skills, comfortable liaising with support workers, participants, and their families.
- A high level of attention to detail, particularly around accurate timesheet and payroll processing.
- Comfortable juggling several competing rostering priorities at once without losing accuracy or momentum.
Nice to have
- Understanding of shift allocations and award-based rostering, particularly experience with the SCHADS Award.
- Broader experience in workforce planning or scheduling within the disability or healthcare sector, beyond SIL specifically.
