What you will have an opportunity to do:
We are seeking a highly engaging, detail-driven, and customer-focused professional to join our team as a Sales & Marketing Coordinator. This role is essential to the success of our Sales & Marketing department and has evolved far beyond traditional administrative tasks. The ideal candidate thrives in a fast-paced environment, demonstrates impeccable organization and communication skills, and brings energy, curiosity, and a passion for supporting both internal teams and our guests.
The Sales & Marketing Coordinator plays a key role in ensuring that sales operations run smoothly—from managing inquiries and supporting marketing initiatives to coordinating group reservations and maintaining accurate data across systems. This is a tremendous opportunity for a motivated individual looking to grow their career in hospitality while contributing to a dynamic, collaborative, and service-driven culture.
Essential Functions
- Serve as a welcoming, first point of contact by answering incoming calls, qualifying group and event inquiries, and assisting to schedule appointments or sales calls.
- Support the Sales Team by preparing contracts, proposals and cost estimates.
- Assist with the preparation of sales kits, collateral, and curated presentations that reflect our brand standards and storytelling.
- Manage thank-you communications and follow-up touches to help nurture client relationships and build long-term loyalty.
- Accurately enter and maintain group reservations in the property management system, ensuring all details and billing is correct, complete, and communicated to relevant departments.
- Update event actuals and booking information in Delphi following the completion of each program.
- Prepare reports, lead recaps, and departmental updates to support forecasting and planning efforts.
- Collaborate with the marketing team on initiatives such as social media content gathering, email campaigns, photography organization, and on-property activations (as needed).
- Maintain organized files, dashboards, and process workflows to help enhance team efficiency.
- Manage office supply inventories, ordering, and sales department resources to ensure the team is always equipped and presentation-ready.

- A proactive, polished professional who enjoys engaging with people from around the world and creating meaningful, memorable interactions.
- Prior hospitality or customer-facing experience (hotel or resort experience strongly preferred).
- Strong organizational and multitasking skills, with a comfort level managing multiple priorities and deadlines.
- Tech-savvy mindset with the ability to learn new systems quickly (experience with Delphi, PMS systems, and Microsoft Office is a plus).
- A team-oriented spirit that supports colleagues personally and professionally, leads by example, and embodies warm, genuine hospitality.
