  • Location: Onsite, Purcellville, VA; local candidates preferred
  • Job Type: Full-Time
  • Compensation: $45,000–$55,000 annual equivalent; paid hourly, non-exempt
  • Benefits: Benefits package available for full-time employees
  • Schedule: Monday–Friday | 8:30 a.m.–5:00 p.m.

ABOUT THE ROLE: The Mobilization Administrative Specialist provides administrative, operational, and constituent support across IFA’s Mobilization and Administration departments. Support the National Director of Mobilization and help Church Ambassadors and State Prayer Leaders stay connected, informed, and engaged through communication, encouragement, prayer, resources, and consistent follow-up. Also support front-office service, database management, mail operations, inventory, and daily office responsibilities. This shared role offers meaningful variety and requires strong organization, accuracy, discretion, and a service-focused approach. Leaders from both departments coordinate assignments and priorities to balance the workload.

WHAT ONE WILL DO

  1. Mobilization Support: Coordinate correspondence, assignments, deadlines, departmental activities, and follow-up for the National Director of Mobilization.

  2. Volunteer Relationships: Welcome and communicate with Church Ambassadors and State Prayer Leaders through calls and emails. Listen, encourage, pray, answer routine questions, and connect volunteers with ministry resources, training, and events.

  3. Communications & Materials: Draft, proofread, prepare, and distribute emails, letters, reports, presentations, prayer resources, Welcome Kits, event materials, and the weekly Friday State Prayer Leader email.

  4. Prayer Calls & Events: Participate in the Monday morning State Prayer Leader call, listen to assigned state prayer calls for alignment with IFA guidelines, and bring concerns to the National Director. Coordinate materials and logistics for meetings, Zoom briefings, and prayer initiatives.

  5. Data & Recordkeeping: Maintain accurate, confidential volunteer and constituent records in Salesforce and other systems. Enter, update, import, and export data; create Mail Merges and reports using Microsoft Excel and Word.

  6. Constituent & Office Support: Answer phones, assist callers, provide prayerful support when appropriate, and help keep daily office operations running smoothly.

  7. Mail & Inventory Operations: Prepare weekly and special mailings, operate mail-inserting, postage, and labeling equipment, organize supplies and storage areas, and maintain inventory records.

  8. Daily Mail Pickup: Pick up and deliver mail between the Post Office and Administrative Office.

WHAT ONE WILL BRING

  • High school diploma or GED required; an Associate’s degree in Business, Ministry, Nonprofit Management, or a related field highly preferred.

  • Two to four years of relevant experience in administration, customer service, volunteer engagement, ministry support, or related work preferred.

  • Proficiency in Microsoft Office, including Excel, Word, and Mail Merge. 

  • Salesforce or other CRM/database experience highly preferred.

  • Strong organizational skills, attention to detail, accuracy, and follow-through.

  • Excellent written, verbal, and interpersonal communication skills.

  • A responsive, service-oriented approach to supporting volunteers, ministry leaders, donors, and constituents.

  • Ability to work independently, manage multiple priorities, and meet deadlines.

  • Sound judgment and the ability to safeguard confidential information.

  • Strong Christian faith and willingness to participate in prayer with staff, volunteers, donors, and community partners, consistent with IFA’s mission.

  • Ability to lift and move mail trays, packages, and office supplies weighing up to 25 pounds.

  • Residence within a reasonable commuting distance of the Purcellville VA office.
