Description
The Personal Assistant at Rene Gonzalez Architects will play a critical role in streamlining and supporting the firm's daily operations. They will work closely with and report directly to our dynamic team of architects, helping manage scheduling, communications, and other essential tasks. Responsibilities Manage the professional and personal scheduling for the team of architects, including agendas, mail, email, calls, travel arrangements (including organizing itineraries), and client management. Provide administrative support to the architects' team by managing and coordinating project timelines, deadlines, and tasks. Handle all client-related activities, including maintaining and developing relationships, handling inquiries, and managing correspondence and communications. Create reports, compose correspondence, and draft new contracts for architects' review. Liaise with team members at all levels internally, and externally with clients and vendors. Manage office supplies and liaise with vendors to keep the office running smoothly. Qualifications A minimum of 3 years of experience working as a Personal Assistant, Executive Assistant, Office Manager, or in a similar role within the architecture or design industry. Strong knowledge and experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Excellent organizational skills with an ability to think proactively and prioritize work. High-stress tolerance centered around strong problem-solving skills. Superb written and verbal communication skills. Must have a full understanding of office management systems and procedures.
