Are you an organised administrator with excellent communication skills and a passion for supporting learners? Do you enjoy managing applications, responding to enquiries and helping people access education, training and employment opportunities?
We are seeking an Admissions and Learner Support Administrator to support admissions, learner funding, student services and government-funded programme referrals. This varied role offers the opportunity to work with applicants, parents and carers, schools, internal teams and external partners to ensure learners receive accurate information and effective support.
About the Organisation
Our client is an established education and training provider delivering further education, vocational training, apprenticeships and skills development programmes.
The organisation works with learners, schools, employers, Jobcentre Plus and other partners to support access to education, learner progression and employment opportunities.
About the Role
You will provide administrative support across admissions, bursary processing, learner enquiries, school liaison, events and National Jobs Guarantee referrals. You will manage multiple communication channels, maintain accurate records and ensure applications and referrals are processed within required timescales.
Key Responsibilities:
-
Manage admissions, bursary and general enquiries across inboxes, telephone calls, voicemails and digital messaging platforms.
-
Process learner applications, check qualifications and predicted grades, and assess suitability against course entry criteria.
-
Provide Information, Advice and Guidance (IAG) to applicants, parents and carers regarding applications, grades, offers and entry requirements.
-
Maintain accurate application data, update learner management systems and liaise with schools about attendance, behaviour and predicted grades.
-
Assess bursary applications, review financial evidence, respond to enquiries and issue eligible meal vouchers and travel passes.
-
Plan and manage learner communications, admissions campaigns, appointment reminders, Welcome Days and enrolment events.
-
Support reception cover, open days, examinations, recruitment events and other college activities.
-
Monitor National Jobs Guarantee referrals, check information for completeness and possible duplicates, and action referrals within one working day.
-
Contact referred young people, arrange initial meetings, send reminders and follow up missed appointments in line with programme procedures.
-
Record referral outcomes, notify relevant DWP contacts, maintain accurate reporting data and escalate issues to the appropriate teams.
-
Collaborate with admissions, learner support, safeguarding, compliance, careers, case management and employer engagement teams.
-
Handle learner and participant information securely, following GDPR, data protection and safeguarding procedures.
The Ideal Candidate
You will be a proactive and organised administrator who can manage competing priorities, communicate professionally with a range of people and maintain accurate records.
Essential Skills and Experience:
-
Experience in administration, customer service, admissions or a learner-facing support role.
-
Excellent communication, organisation and time-management skills, with the ability to meet deadlines.
-
Strong attention to detail when processing applications, financial evidence, referrals and learner records.
-
Good IT skills, including Microsoft Office, spreadsheets and database or learner management systems.
-
A professional, supportive approach when dealing with young people, parents, carers and external partners.
-
The ability to handle confidential information responsibly and work effectively as part of a team.
Experience in Further Education (FE), a college, training provider, learner services, bursary administration or government-funded employability programmes would be advantageous. Familiarity with Jobcentre Plus referrals or DWP processes would also be beneficial.
