Under the direction of the Vice President of Camping Services (VP), the Executive Director provides year-round executive leadership and operational oversight for Camp Arrowhead. The Executive Director is accountable for the overall success of programs, services, facilities, financial performance, staff development, fundraising, volunteer leadership, and the participant and family experience.
The Executive Director provides strategic and operational leadership to ensure Camp Arrowhead delivers high-quality, safe, engaging, and financially sustainable programs and services that respond to the needs of children, families, members, and the community. Key responsibilities include program development and growth, revenue generation, fiscal management, facility and property oversight, financial development, community engagement, Board development, and the recruitment, development, and leadership of staff.
The Executive Director is responsible for developing and maintaining strong relationships with the Board, donors, volunteers, community partners, families, and other key stakeholders. The Executive Director leads the Annual Campaign and works collaboratively with the Board and Association leadership to advance fundraising, community engagement, and strategic priorities.
The position is responsible for demonstrating YMCA leadership competencies and ensuring the mission, purpose, image, and core values of the YMCA of Greater Rochester are reflected throughout all areas of responsibility.
SPECIFIC RESPONSIBILITIES:
Leadership & Operations
- Provide year-round executive leadership and oversight for all operations, programs, services, and activities at Camp Arrowhead and the swim center.
- Establish annual goals, priorities, and operating plans aligned with the strategic direction of the YMCA of Greater Rochester.
- Lead the planning, implementation, evaluation, and continuous improvement of programs and services, including summer day camp, outdoor and environmental education, group rentals, aquatics and swim programming, weekend programming, special events, and other community-based activities.
- Ensure Camp Arrowhead consistently provide safe, high-quality, engaging, and mission-driven experiences for participants, families, members, and guests.
- Identify and implement opportunities to expand programs, increase participation, strengthen the participant experience, and grow the Center’s impact within the community.
- Collaborate with the Vice President of Camping Services and Association leadership on strategic initiatives, operational priorities, and opportunities for growth.
- Serve as the primary organizational leader and representative for Camp Arrowhead within the community.
Staff Leadership & Development
- Recruit, hire, train, supervise, coach, and evaluate Camp Arrowhead staff. Establish clear performance expectations and ensure staff receive appropriate training, feedback, coaching, and professional development.
- Build and develop a strong staff team that demonstrates YMCA values and provides exceptional service to children, families, members, and guests.
- Ensure appropriate staffing levels and structures are maintained to support program quality, safety, youth protection, operational needs, and financial performance.
- Foster a positive, collaborative, accountable, and mission-driven workplace culture.
Program Quality, Safety & Compliance
- Ensure all programs and operations comply with YMCA of Greater Rochester policies and procedures and applicable local, state, and federal requirements.
- Ensure aquatics programs and operations meet YMCA standards and all applicable health, safety, certification, and regulatory requirements.
- Ensure compliance with applicable New York State Department of Health regulations and American Camp Association standards.
- Maintain appropriate documentation, records, certifications, inspections, and operating procedures required for camp operations.
- Ensure appropriate staffing, training, certifications, emergency procedures, and risk-management practices are maintained for all aquatics operations.
- Implement and monitor practices that make participant safety, program quality, risk management, and excellent customer service top priorities.
- Ensure staff are appropriately trained in emergency procedures, incident response, youth protection, and other required safety practices.
- Respond appropriately to participant, parent, and staff concerns and ensure timely resolution and follow-up.
- Serve as a key leadership resource for families and staff regarding participant needs, program concerns, and the overall camp experience.
Financial Management & Growth
- Develop, manage, and monitor the Camp Arrowhead operating budget, ensuring responsible fiscal management and appropriate allocation of resources.
- Monitor revenue, expenses, enrollment, participation, and other key performance indicators and take appropriate action to maintain a strong financial position.
- Develop and implement strategies to increase participation, program revenue, rentals, and other opportunities for sustainable growth.
- Evaluate program performance and make recommendations regarding pricing, scheduling, staffing, expenses, and future program opportunities.
Facility & Property Management
- Provide leadership and oversight for the appearance, condition, safety, and functionality of Camp Arrowhead facilities, grounds, program areas, and equipment.
- Partner with VP and appropriate facility staff to identify maintenance needs, prioritize improvements, and support long-term facility planning.
- Conduct regular reviews of the property and program spaces to ensure a safe, clean, welcoming, and high-quality environment. Identify facility needs and opportunities that support program growth, safety, efficiency, and the overall participant experience.
- Ensure equipment and supplies are appropriately maintained, inventoried, stored, and replaced as necessary.
Financial Development & Community Engagement
- Provide leadership for Camp Arrowhead’s annual campaign efforts and provide leadership toward the successful achievement of Camp Arrowhead Annual Campaign goal.
- Cultivate relationships with current and prospective donors, volunteers, community partners, corporations, schools, and other organizations that can support Camp Arrowhead’s mission and growth.
- Identify opportunities for partnerships, sponsorships, contributed support, and community engagement.
- Participate in donor cultivation, stewardship, solicitation, and recognition activities as appropriate.
Volunteer & Board Engagement
- Serve as the primary staff liaison to the Center Board and provide leadership in developing an engaged, effective, and mission-focused volunteer Board.
- Partner with Center Board leadership to establish annual goals, priorities, meeting schedules, and areas of focus aligned with Center and Association objectives.
- Recruit, cultivate, orient, engage, and retain Board members who bring diverse experiences, skills, relationships, and perspectives to support the Center.
- Work with the Center Board to advance the Annual Campaign, community engagement, advocacy, strategic initiatives, and other Center priorities.
- Maintain strong communication and productive relationships with Center Board leadership, members, and other key volunteers.
Additional Responsibilities
- Maintain all required certifications, licenses, and trainings.
- Maintain a flexible schedule based on camp and program needs, including evenings and weekends as required.
- Attend all required meetings, trainings, and professional development opportunities.
Requirements
- Bachelor’s degree in recreation, physical education, child development, education, business administration, or a related field preferred. Equivalent combinations of education and relevant experience may be considered.
- Minimum of five years of experience developing, implementing, and managing high-quality, large-scale programs, preferably in camping, recreation, youth development, or a related environment.
- Minimum of three years of supervisory experience, including demonstrated success in recruiting, training, coaching, developing, and managing staff.
- Genuine interest in working with children and families and creating experiences that support youth development and enrichment.
- Demonstrated ability to lead year-round operations in a complex, fast-paced environment.
- Strong business and financial management skills, including experience developing and managing budgets, controlling expenses, and driving revenue growth.
- Experience with fundraising, donor cultivation, and individual gift solicitation preferred.
- Strong leadership skills with the ability to motivate teams, establish accountability, and create a positive staff culture.
- Self-motivated, hands-on leader with strong communication, collaboration, networking, and relationship-building skills.
- Demonstrated commitment to providing exceptional customer service and maintaining high standards for programs, facilities, and the overall participant experience.
- Excellent organizational and project management skills with the ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills with a professional and polished demeanor.
- Ability to develop and maintain effective relationships with participants, families, employees, volunteers, donors, community partners, and other stakeholders.
- Current CPR/AED and First Aid certifications, or ability to obtain and maintain certifications within the required timeframe.
- Commitment to the YMCA’s mission and demonstrated ability to model the YMCA’s core values and leadership competencies.
PHYSICAL REQUIREMENTS:
· Must be able to sit and stand for extended duration of shift.
· Must be able to bend and stoop frequently.
· Must be able to lift up to forty pounds.
· Ability to work in all elements (i.e. outside in all weather).
· Ability to move from program site to branch or site to site, and is required to enter all YMCA environments including, program space, buses, schools, pools, and program area.
· Ability to supervise children by sight and sound at all times.
· Ability to move quickly to react to safety issues in the setting (i.e. aggressive behavior).
· Ability to move around the gym/field to assist children and supervise children with daily activities, social interaction, physical and emotional needs.
