Position Summary:
Our Facilities Interior Project Manager II plays a critical role for the Facilities’ Moves, Additions and Construction (MAC) team within the Bureau of Fleet and Facilities. This position plans, coordinates, and manages small- to medium-sized design, construction, and renovation projects in City-owned and leased facilities, with a primary focus on commercial office tenant improvements.
Responsibilities include managing projects from initial scope development through design, procurement, construction, installation, and closeout; coordinating bureau and tenant moves; and supporting furniture, signage, and wayfinding packages and installations. The position also collaborates with bureau stakeholders to define project requirements, develop scopes of work, and establish project goals to support changing operational needs and workspace requirements.
In addition, the Facilities Interior Project Manager II maintains interior finish and furniture standards, technical specifications, and as-built CAD drawings across a portfolio of approximately 18 buildings. Success in this role requires strong project management and interior design expertise, sound financial judgment, effective move management, and the ability to build collaborative relationships through diplomacy, clear communication, and responsive customer service.
What you'll get to do:
- Manage design and construction projects. Plan, coordinate, and oversee small- to medium-sized design, construction, renovation, and installation projects in City-owned and leased facilities. Exercise independent judgment to prioritize and manage multiple projects with varying scopes, schedules, budgets, and levels of complexity.
- Develop project scopes and coordinate stakeholders. Collaborate with bureau customers, project stakeholders, and City business partners to define project requirements, develop scopes of work, and establish project goals. Facilitate meetings and communicate with stakeholders and executive sponsors. Partner with Senior Capital Project Managers, architects, engineers, and Operations and Maintenance staff on projects requiring broader coordination or specialized expertise.
- Manage project budgets, schedules, and financial controls. Prepare and/or review design and construction cost estimates for projects typically ranging from $5,000 to $1 million. Develop and maintain project budgets and schedules, evaluate change orders, monitor expenditures, and process invoices and progress payments in a timely manner to ensure responsible stewardship of public funds.
- Coordinate procurement and contract administration. Support the procurement of design consultants, vendors, and contractors, and manage contracts and consultant and contractor performance to ensure project requirements, deliverables, schedules, and budgets are met.
- Oversee construction quality, safety, and compliance. Conduct regular site visits and review project deliverables and construction work to verify conformance with approved plans, specifications, applicable building codes, and federal, state, and local laws, regulations, and City policies.
- Plan and coordinate bureau and tenant moves. Manage moves of varying sizes and complexity within City-owned and leased facilities, primarily office environments. Coordinate with bureau customers, City Technology staff, and other partners to support space transitions, minimize operational disruptions, and ensure furniture, equipment, and related installations are completed effectively.
- Maintain design standards and facility records. Develop, maintain, and update furniture, interior design finish standards, technical specifications, and as-built CAD drawings to support consistency, functionality, and effective space planning across the City’s facilities portfolio.
- Promote equity and inclusion. Foster an equitable and respectful workplace by recognizing diverse perspectives, supporting inclusive collaboration, and considering the needs of employees, facility users, and the broader community.
- Brings knowledge of interior design and move management. Understands commercial interior design, move management, furniture selection and installation, interior finishes, space utilization, and workplace functionality.
- Has relevant education, training, or professional credentials. May have a degree in interior design, interior architecture, architecture, project management, construction management, move management, or a related field, or a professional certification such as PMP, NCIDQ, or LEED AP. These qualifications are valued but not required.
- Demonstrates sound financial and budget management. Develops reliable cost estimates, monitors project expenditures, evaluates change orders, and makes informed decisions that support effective stewardship of public funds.
- Manages projects from planning through completion. Coordinates scope development, design, procurement, scheduling, construction, furniture and equipment installation, and project closeout while maintaining established budgets, timelines, and quality standards.
- Prioritizes safety, quality, and regulatory compliance. Applies relevant building codes, construction standards, safety requirements, and public procurement practices throughout project planning and delivery.
- Incorporates sustainability into project decisions. Identifies opportunities to improve energy efficiency, apply green building practices, select appropriate materials, and enhance the long-term performance of City facilities.
- Communicates effectively and builds collaborative partnerships. Engages diverse stakeholders with diplomacy and professionalism, navigates competing needs, resolves concerns constructively, and maintains productive working relationships.
- Exercises initiative and adapts to changing priorities. Works independently, anticipates challenges, evaluates options, and adjusts plans as needed to keep multiple projects moving forward.
- Advances equity and inclusion. Values diverse perspectives and considers how design, construction, and space-planning decisions affect employees, facility users, and the community.
Applicants must demonstrate how their education, training, and experience meet each of the minimum qualifications listed below:
