Venesco LLC is looking for an Aeromedical Admin Assistant to support the 711th Human Performance Wing (711 HPW), headquartered at Wright-Patterson Air Force Base in Ohio. Established under the Air Force Research Laboratory, the 711 HPW is comprised of the Airman Systems Directorate (RH), the United States Air Force School of Aerospace Medicine (USAFSAM) and the Human Systems Integration Directorate (HP). The Wing delivers unparalleled capability to the Air Force through a combination of world class infrastructure and expertise of its diverse workforce of military, civilian and contractor personnel encompassing 75 occupational specialties including science and engineering, occupational health and safety, medical professions, technicians, educators, and business operations and support.

Responsibilities:

  • Serve as the primary office assistant performing various clerical and administrative duties in support of the organization, performing office automation support using multiple automated 
  • programs and software such as databases, spreadsheets, and graphics in support of the clerical and administrative work. 
  • Prepare a wide variety of recurring and some nonrecurring correspondence, reports, and other documents and reviews and finalizes correspondence/documents prepared by others in handwritten or electronic drafts. 
  • Review and process incoming and outgoing correspondence, materials, publications, regulations and directives. Screens incoming mail to identify what needs to be brought to the 
  • attention of the supervisor, referred to appropriate staff, rerouted to other organizations/offices, or handled personally. 
  • Have the ability to communicate with coworkers, leaders, commanders, first sergeants, MAJCOMs, AFMRA and others; be able to resolve conflict at different levels.
  • Receive telephone calls, greets visitors, and ascertains the nature of the calls or visits. 
  • Maintain Branch Chief’s calendar, coordinates meeting arrangements, and schedules meetings and/or conferences.
  • Review all Aeromedical cases submitted from the MAJCOMs and AFMRA, and ensure pertinent data and attachments will be entered into ACS Examinee Management System (EMS).
  • Perform all duties necessary with ACS appointments and all required data entry for Patient Status Worksheet (PSW) and Examinee Management System (EMS) that are within the HPWS (Human Performance Wing Support) web-based program. This includes the collection and compilation of evaluee itineraries, maps and all documentation pertaining to ACS appointments. 
  • The contractor shall be responsible for updating and maintaining the electronic documentation in the Aerospace Medicine Branch and electronic continuity binder for multiple documents.  Additionally, the contractor shall be responsible for updating information and correcting any errors for contact information on the Aeromedical Consultation Service webpage located on the Air Force Knowledge Exchange and the HPWS website. 
  • The contractor shall comply with all policies of the Aerospace Medicine Branch and ensure appropriate and complete evaluee testing and care in support of the Aeromedical Consultation Service, and other referring facilities as required. Additionally he/she shall do the following: perform all administrative functions in support of Aerospace Medicine Branch, which includes preparing memoranda and technical reports. The contractor shall attend morning meeting for discussion of ACS cases, and are required to provide administrative computer support for this function on an as needed basis. The contractor shall communicate all necessary information for appropriate evaluee care to the Aeromedical Case Manager and/or primary physician. The contractor shall be in compliance with Center for Disease Control (CDC) and Occupational Safety and Health Administration (OSHA) guidelines in Universal Precautions and Infection Control. Coordinate clinical activities with ACS and other referring facilities.

Requirements

  • The contractor must have, at a minimum, a college degree of an Associates with at least 3 years of experience in aeromedical case management or administrative duties with aeromedical case management. 
  • The contractor must be proficient with Portable Document Format (PDF) and all Microsoft office applications to include but not limited to: Microsoft Word, Microsoft Excel, Microsoft Outlook and Microsoft PowerPoint. 
  • The contractor must understand and communicate in medical terminology. 
  • The contractor must have advanced skills in typing using 9 key pad and QWERTY. 
  • The contractor shall have a technical knowledge of the Share point website and its functionality.
