Key Responsibilities:

1. Fuel & Lubricants Management

o Monitor and process vessel requests, RFQs, purchase orders, and invoices for fuel, lubricants, grease, additives, and marine technical items for the fleet according to vessel schedules.

o Collaborate with the Supervisor to ensure procurement aligns with operational needs and cost-efficiency objectives.

o Deal with suppliers, brokers, agents, and vessels to ensure correct bunker deliveries.

o Support sourcing of alternative suppliers or products where needed.

o Maintain accurate documentation for all processed orders.

o Communicate any issues with deliveries before and after bunkering with concerned parties and ensure the purchasing system is updated accordingly.

o Assist Accounting in resolving invoice and purchase order discrepancies.

o Perform other work-related tasks as assigned by the Supervisor.

o Coordinate with suppliers to consolidate orders and achieve cost savings.

o Support the implementation and monitoring of Key Performance Indicators (KPIs) to track supplier performance in terms of quality, price, service and on-time delivery.

o Liaise between internal customers and suppliers to ensure smooth operations.

o Support supplier relationship management, including identifying and sourcing potential suppliers, gathering market information, participating in industry trade shows where relevant, and maintaining professional relationships with suppliers.

o Work closely with Marine Operations and internal stakeholders to identify and source all products required for Marine Operations and support the identification of fit-for-purpose, cost-effective and “best in class” products.

o Assist in coordination with the Supervisor to ensure that received deliveries are closed and updated in ShipSure and MXP Systems.

o Ensure an effective bidding process for all purchased items, evaluating bids and making recommendations based on specifications and commercial factors.

o Establish product specifications for new items based on requirements provided by the Marine Operations team and manage product specifications and item setup in the Material Management System.

o Ensure that products are supplied in compliance with ISO and MARPOL regulations and international shipping requirements.

o Support the maintenance and continuous improvement of the Fuel Management System for supply chain-related tasks, including but not limited to inventory tracking, order processing and supplier performance monitoring.

o Prepare price comparisons, bid evaluations and commercial analyses to support purchasing decisions and supplier recommendations.

o Support negotiations with suppliers on price, delivery terms, payment terms and other commercial conditions, under the guidance of the Marine Procurement Manager.

o Monitor market conditions, supplier pricing and availability to identify potential cost-saving and sourcing opportunities.

2. Green Fuel & Sustainability Initiatives

o Support the adoption of biofuels and green fuels such as HVO, Bio LNG, and Bio MGO to comply with environmental regulations.

o Collaborate with technical teams to ensure fuel quality and compatibility with vessel specifications.

3. Operational Support & Succession Planning

o Provide daily support to the Category Manager, ensuring continuity in case of absence or transition.

o Participate actively in knowledge transfer to facilitate succession planning within the procurement team.

o Develop a strong understanding of fleet requirements, supplier markets, procurement processes and internal systems to ensure effective backup and continuity of procurement activities.

4. Reporting & Data Analysis

o Provide regular reports and updates to senior management regarding procurement activities, supplier performance, and cost-saving initiatives.

o Use procurement tools and systems to maintain accurate data, track spending, and assess procurement efficiency.

o Prepare spend analysis, price comparisons, supplier performance reports and other procurement-related analyses as required.

o Maintain accurate procurement data and support the identification of purchasing trends, cost-saving opportunities and potential supply risks.

o Support the preparation and monitoring of procurement KPIs and management reports.

Qualifications:

· Education: Bachelor’s degree in engineering, Business, Supply Chain Management, or related field.

· Experience: 1–2 years of experience in procurement, purchasing, supply chain or a related role; experience in maritime fuel procurement, fuels, lubricants and/or marine technical items is preferred.

Skills & Competencies:

o Knowledge of maritime regulations and environmental standards for fuels.

o Basic understanding of procurement processes, sourcing, RFQs, bid evaluation and supplier management.

o Good commercial awareness and ability to analyze prices, quotations and supplier offers.

o Supplier management and basic contract negotiation skills.

o Strong communication, analytical, and problem-solving abilities.

o Ability to manage multiple procurement activities simultaneously, prioritize tasks and meet deadlines.

o Familiarity with procurement software and ERP systems.

o Good numerical and data analysis skills, with strong attention to detail.

o Ability to work independently on routine procurement activities while escalating complex or high-value matters appropriately.

o Proactive, structured and customer-oriented approach.

Languages: Fluent in English; French or Italian is a plus.

Working Conditions:

· Office-based in Monaco, with occasional travel for supplier or vessel visits.

· Full-time position with flexible hours based on operational needs.
