Job Description
General Description / Primary Purpose
The Development Associate plays a vital role in advancing the University's philanthropic mission by providing administrative, operational, and strategic support to the Development team. This position contributes to donor engagement, stewardship, fundraising initiatives, and departmental operations while ensuring efficient coordination of activities and exceptional service to internal and external stakeholders.
Job Function
Responsibilities include, but not limited to:
- Provide administrative support to the Assistant Vice President-Development Officers, Directors and Assistant Directors of Development.
- Maintains calendars, composes and signs routine correspondence.
- Assist with monitoring and tracking Educational & General (E&G) and Foundation budget expenditures.
- Proofread and review documents to ensure consistency, accuracy, and adherence to established formatting standards.
- Maintain and manage donor databases, ensuring accuracy and confidentiality.
- Collaborate with team members to develop and implement donor engagement strategies.
- Assists with drafting and tracking of Gift Agreements.
- Supports the planning and staffing of volunteer council meetings including preparation of agendas, meeting notices, RSVPs and meeting minutes.
- Manages priorities including but not limited to scheduling meetings, reserving meeting spaces, coordinating conference calls and donor visits.
- Assists with expense reports.
- Keeps minutes, memos, letters, reports and other documents for internal and external circulation.
- Maintain organized electronic and physical filing systems.
- Support special projects, events, and initiatives as assigned by the Development team.
Marginal Functions
- May serve on the Search & Screen Committee for Director-level and above positions.
- May represent the university on local, system-wide, or state committees.
- During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off-campus location or place of residence.
Required Qualifications
High school diploma and 4+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
