Our Client Service Representatives are such an important part of the hospital and the experience we provide to our clients and patients. From answering that first phone call and welcoming families into the hospital to coordinating appointments and communicating with our medical team, our CSRs help make sure every client feels supported and every patient receives the care and attention they deserve. We are looking for someone who genuinely enjoys helping people, communicates with kindness and professionalism, thrives in a busy veterinary environment, and understands that exceptional client service is an important part of exceptional veterinary care.

What You'll Do

Client Service & Communication

• Greet clients warmly and professionally and help create a welcoming experience from the moment they enter the hospital.
• Answer incoming phone calls and assist clients with questions regarding appointments, services, hospital policies, and general information.
• Schedule appointments and procedures while helping maintain an organized and efficient hospital schedule.
• Communicate clearly and compassionately with clients throughout their experience with our hospital.
• Help clients navigate routine questions and connect them with the appropriate medical team member when needed.

Check-In & Check-Out

• Efficiently manage client and patient check-ins while confirming and updating necessary information.
• Process payments accurately and provide invoices and receipts.
• Coordinate smooth check-out experiences and schedule follow-up appointments as needed.
• Help ensure accurate communication between clients and the veterinary team.
• Maintain a calm and compassionate approach when assisting clients who may be worried or emotional about their pets.

Administrative Responsibilities

• Maintain accurate electronic and paper medical records.
• Complete administrative responsibilities including scanning, filing, data entry, and documentation.
• Maintain and update client and patient information within the hospital's practice management system.
• Assist with appointment and schedule management throughout the day.
• Help keep the reception and client-facing areas organized and welcoming.

Team Collaboration

• Work closely with veterinarians, veterinary technicians, assistants, and fellow client service team members to support efficient patient flow.
• Communicate client concerns, schedule changes, special requests, and important information to the appropriate team members.
• Support coworkers during busy periods and contribute to a positive, collaborative hospital environment.
• Help create a seamless experience between our clients and medical team.

More Than a Receptionist

Our Client Service Representatives are much more than receptionists. They are an essential part of our veterinary team and often serve as the connection between our clients and medical staff. The right person for this position will be warm, professional, organized, compassionate, and comfortable balancing multiple priorities throughout the day.

Veterinary medicine can also be fast-paced and emotional. Our CSRs need to be able to remain calm and helpful while balancing phones, appointments, client questions, medical team communication, and the unexpected situations that naturally happen in a veterinary hospital.

What We're Looking For

Our ideal candidate will have:

• Excellent interpersonal and customer service skills with a friendly and professional demeanor.
• Strong verbal and written communication skills.
• Ability to multitask and stay organized in a fast-paced environment.
• Strong attention to detail and follow-through.
• Comfort using computers and learning veterinary practice management software.
• Empathy and patience when working with clients who may be anxious or concerned about their pets.
• Dependability and a team-oriented attitude.
• Genuine interest in veterinary medicine and creating an exceptional experience for clients and their pets.
• Previous veterinary receptionist, Client Service Representative, veterinary assistant, or animal hospital experience is strongly preferred.
