Summary
JOB SUMMARY:Reporting to the Manager, Food Services, the Assistant Manager is responsible for providing day-to-day operations management for a designated food services portfolio by supervising staff, making resource planning and selection decisions in collaboration with the Manager, coordinating work assignments, establishing orientation and training plans, establishing performance expectations, conducting performance evaluations and resolves disciplinary matters. Coordinates designated food services such as in-patient, cafeteria and catering services including planning menus and services for clients and ensuring adherence to production and service capabilities, cost constraint, presentation and nutritional requirement as established with Nutritional Standard Guidelines. Works with the Manager to determine and implement best practices. Investigates and resolves operational issues involving service level concerns or staff performance issues. The position participates in developing and monitoring the budget and assists the Manager in the planning, development, implementation and evaluation of systems, processes, policies, procedures, products, services and equipment.QUALIFICATIONS:EducationDiploma or Recognized Certification in a related field, plus five (5) years' recent, related experience in a large, institutional food services environment or an equivalent combination of education, training and experience.Skills and AbilitiesAbility to communicate effectively orally and in writing at various levels of the organization. Physical ability to perform the duties of the job.Coordinates the day-to-day operations of food services for an assigned portfolio by providing key management support to ensure the overall effective forecasting and utilization of respective personnel, services and equipment. Investigates and resolves operational issues involving service level concerns or staff performance issues and maintains related documentation. Schedules shifts, statutory holiday vacations and relief, approves over-time and leaves of absence for staff. Supervises designated staff including interviewing applicants, making staff resource planning and selection decisions, coordinating work assignments, establishing performance expectations, determining required orientation and training, conducting related training and orientation for staff as required, familiarizing staff with new procedures, conducting performance evaluations and resolving disciplinary matters. Where necessary, initiates disciplinary action up to and including termination. Participates in essential service designation planning input as required. Coordinates designated food services, cafeteria and catering services including planning menus and services for clients and ensuring adherence to production and service capabilities, cost constraint, presentation and nutritional requirement as established with Nutritional Standard Guidelines. Establishes and oversees standardized production schedules, recipes, inventory levels and reheat methods. Evaluates foods being prepared, served and distributed to ensure established standards of quality, quantity and safety are maintained. Develops, revises and prepares direct charge and contract order sheets for the acquisition of supplies; implements PHC food service standards regarding products, receiving, storage and rotation of food. Builds positive relationships and performs customer relations duties related to client problems, listens to client issues, takes follow-up action and resolves as required. Monitors the daily work activity of personnel within the assigned area, interprets, and communicates regulations and standards to staff to ensure safety procedures set by the department and regulatory agencies, such as Food Safe bylaws and WorkSafe BC are fully complied with. Assists the Manager in developing and monitoring the budget. Provides input into budget requirements and monitors expenditures by reviewing and verifying invoices. Assists the Manager to promote and enhance service excellence, evaluates operations and develops improvements in operating processes and equipment and facilities to maximize productivity, and service levels for assigned functions. Reports to Manager on identified observations and outcomes, such as pros, cons, risks, and areas needing improvement. Makes recommendations to the Manager as required. Works with the Manager to determine and implement best practices including conducting research as required and participating in preparation of business cases relating to operational planning and quality service improvements. Develops monitors and updates quality improvement initiatives to ensure service quality standards are maintained. Contributes to the departmental strategic plan and related projects and initiatives by identifying goals and objectives for the portfolio providing feedback on activity levels and ensuring services address established goals and objectives and meet organizational service requirements. Makes recommendations to the Manager as required. Supports the Manager by participating in committees and meetings involving clients, contractors and residents/patients and other stakeholders. Ensures that materials and requirements meet established standards and applicable policies, practices, and procedures are understood and followed. Coordinates and maintains the contractual relationships between PHC and vendors and contracted services by liaising with applicable personnel and monitoring existing agreements for contract adherence. Ensures that contracted services meet or exceed PHC specifications, responds to service/quality/delivery issues and escalates issues to the Manager and/or appropriate individual as required. Assists the Manager in the in monitoring and audit processes, against prescribed performance criteria in the performance of quality assurance responsibilities. Assists in collecting, interpreting and presenting quality assurance data. Recommends, plans and organizes the efficient use of space and equipment in respective work areas. Performs other related duties as assigned.
