Position Summary:

The Product Ordering Specialist is responsible for coordinating and scheduling window installation projects to ensure timely and efficient service delivery. This role works closely with Operations, Warehouse, Installation, and other internal teams to align customer appointments, crew availability, materials, and project timelines.

The ideal candidate is positive, energetic, organized, and solutions-oriented. They enjoy working with people, solving problems, managing multiple priorities, and taking ownership of the details that keep projects moving.


Job Duties & Responsibilities:

  • Create and manage weekly and monthly installation schedules for multiple crews using Salesforce.
  • Coordinate scheduling and communicate updates related to installation services and Jobs in Progress (JIP).
  • Work closely with Operations, Warehouse, Installation, and other departments to gather the information necessary to keep projects moving.
  • Create, maintain, and adjust schedules based on project requirements, crew availability, material readiness, and company goals.
  • Identify scheduling conflicts and proactively work with the appropriate teams to resolve them.
  • Monitor project progress and make necessary scheduling adjustments to keep work on track.
  • Utilize Salesforce to manage scheduling, workflow, and project documentation.
  • Build and maintain strong working relationships with internal teams and proactively communicate regarding current and upcoming work.
  • Anticipate potential obstacles and troubleshoot issues before they impact the customer, crew, or installation schedule.
  • Clearly communicate project processes, scheduling information, and changes to internal stakeholders and customers when needed.
  • Provide responsive and professional support when working through customer concerns or escalated situations.
  • Take ownership of assigned projects and follow through to completion.
  • Identify opportunities to improve scheduling processes, communication, workflow, and overall efficiency.
  • Support additional projects, responsibilities, and special assignments as needed.

Minimum requirements:

  • High school diploma or equivalent combination of education and experience.
  • 1+ year of customer service experience.
  • 1+ year of data entry experience.
  • Experience using Salesforce, a CRM, scheduling platform, or similar workflow management system.
  • Proficiency with Microsoft Word and Excel.
  • Experience with SharePoint or similar database/document management systems.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong problem-solving and critical-thinking skills.
  • Ability to identify scheduling conflicts and develop practical solutions.
  • Ability to communicate processes and project information clearly.
  • Ability to work effectively with customers and internal teams.

What We Offer:


Schedule: Monday–Friday, 8:00 AM–5:00 PM

Compensation: $25.00–$30.00 per hour
