We are seeking a highly organised and proactive Mobilisation Administrator to join our Perth-based team. This is a key role responsible for coordinating the mobilisation of contractors and visitors to our operations and offices, ensuring every person is fully prepared, compliant and site-ready before they arrive.
From the initial mobilisation request through to final clearance, you’ll manage the end-to-end process including documentation, medical clearances, system setup, inductions, training and compliance verification. You’ll work closely with contractors, site teams and internal stakeholders to identify outstanding requirements, resolve issues and keep mobilisations on track.
What you’ll be doing
- Coordinate contractor and visitor mobilisation requests from initial submission through to site clearance.
- Review medicals, police clearances, licences, qualifications, competencies and other documentation for accuracy and compliance.
- Create and maintain accurate worker profiles and mobilisation records across PeopleTray, Workday and other relevant systems.
- Assign, monitor and follow up on required online inductions and site-entry training.
- Liaise with contractors, site administrators, HR Systems, Training, Health and Safety teams and other stakeholders to resolve outstanding requirements.
- Proactively identify and escalate issues that may impact mobilisation timelines.
- Confirm all documentation, approvals and inductions are complete before clearing personnel for site access.
- Maintain accurate records and confidentiality when handling personal, medical and commercially sensitive information.
- Contribute to continuous improvement of mobilisation processes, systems, templates and guidance materials.
- Provide broader administration support across the Corporate Health, Safety and Training function during periods of increased workload.
About you
You’ll be an organised and detail-focused administrator who thrives in a fast-paced environment where priorities can change quickly. You’ll be confident following up with stakeholders, managing competing deadlines and ensuring nothing falls through the cracks.
To be successful, you’ll bring:
- Demonstrated relevant administrative experience, preferably within a FIFO mining environment.
- Strong attention to detail and the ability to manage high volumes of documentation accurately.
- Strong communication and stakeholder management skills, with the confidence to influence and follow up with internal and external stakeholders.
- Proven ability to manage multiple priorities and meet tight mobilisation deadlines.
- Intermediate to advanced skills in Microsoft Excel and Word.
It would be advantageous if you have
- Experience using PeopleTray, Workday and/or Pronto.
- Experience working with document control processes.
- A Certificate IV in Business Administration.
- Previous experience coordinating mobilisation, onboarding, compliance or site access within the resources sector.
