What this job involves:
As a Facilities Manager at JLL, you'll serve as the central coordinator responsible for administering a comprehensive compliance program across a large-scale portfolio of facilities nationwide. This role centers on managing the administrative operations that keep compliance activities running smoothly—from vendor coordination and work order management to client communications and reporting. Working remotely, you'll be the organizational hub that connects vendors, stakeholders, and compliance requirements across hundreds of locations. Your organizational expertise and adaptability will drive program success as priorities shift and demands evolve. This fast-paced role requires exceptional coordination skills, proactive communication, and the ability to manage high volumes of concurrent activities while maintaining meticulous attention to detail and fostering collaborative relationships with diverse stakeholders.
What your day-to-day will look like:
- Coordinate and manage third-party vendors to ensure timely completion of inspections and compliance activities across a multi-site portfolio
- Oversee high volumes of work orders from initiation through completion, tracking status and ensuring timely resolution
- Serve as primary point of contact for vendor communications, responding to inquiries and facilitating issue resolution
- Review and process vendor quotes, verifying compliance with contracted rates and approved scopes of work
- Monitor compliance schedules and proactively manage vendor performance to meet contractual obligations
- Maintain detailed records and documentation for inspections, work orders, and compliance activities
- Communicate regularly with clients and internal stakeholders on program status, issues, and resolutions
- Adapt quickly to shifting priorities and urgent situations while maintaining program continuity
- Identify process improvement opportunities and implement innovative solutions to enhance program efficiency
- Prepare comprehensive reports on program metrics, vendor performance, and compliance status
- Collaborate with cross-functional teams to address challenges and ensure seamless program delivery
Required qualifications:
- Bachelor's degree in Facilities Management, Business Administration, related field, or equivalent work experience
- Minimum of 3-5 years of experience in program coordination, vendor management, or administrative operations in multi-site environments
- Proven ability to manage high volumes of work with exceptional organizational skills and attention to detail
- Strong vendor management and relationship-building capabilities
- Excellent written and verbal communication skills with demonstrated client interaction experience
- Ability to pivot quickly when priorities shift and manage competing demands effectively
- Collaborative mindset with ability to work cross-functionally and build productive working relationships
- Proactive problem-solver who identifies issues and develops practical solutions
- Proficiency with work order management systems, tracking software, and Microsoft Office Suite (proficiency in Corrigo is a plus)
- Comfortable working independently in a remote environment while staying connected to team objectives
Preferred qualifications:
- Experience managing compliance programs or coordinating inspection activities
- Familiarity with fire and life safety systems or building compliance requirements
- Background managing programs for large-scale, geographically distributed portfolios
- Experience working with government or institutional clients
- Knowledge of CMMS platforms or facilities management software
- Process improvement experience or continuous improvement mindset
- Professional certifications in project management, facilities management, or related fields
