What you will do:
• Coordinating office work and acting as the front desk representative in ways that optimize procedures
• Sorting and distributing communication on time
• Collecting and submitting invoices, preparing local expenses (transport and accommodation)
• Creating and updating records, ensuring accuracy and validity of information
• Scheduling and planning meetings and appointments as needed
• Monitoring stock levels and resolving shortages
• Providing general support to visitors
• Coordinating office cleaning and maintenance
• Coordinating and collaborating with other departments to ensure compliance with established policies
• Assisting in managing accommodation availability and coordinating guest arrivals and departures when needed
• Coordinating the entire business travel process abroad with the travel team, including all documentation and visa applications, travel insurance, accommodation, airport transfers, expense reimbursement requests, and all related items on time.
• Coordinating the entire business travel process within the country
• Assisting with all field activities at the local level (visiting banks, accountants, authorities, etc.)
• Helping organize internal and external events
• Maintaining trustful relationships with colleagues, clients, and suppliers, as well as property owners
• Performing receptionist/front desk duties
