Description
Key Responsibilities: Responsibilities include but are not limited to:
- Assist Terminal manager with the implementation of HSEQ Management system
- Record and Report unsafe practices and occurrences in the terminal
- Participate in Safety meetings on a monthly basis
- Conduct safety observations in the terminal
Dispatching and Stock Control
- Review schedules submitted by Puma and other oil companies.
- Verify the that the truck registration number and driver name reflects in FBS.
- All trucks and drivers loading Puma Energy trips must have a WinDMS (264xxx sequence) registration and driver number. Puma Energy Master data is handled by the Transport Coordinator of Puma Energy.
- Any master data discrepancies should be flagged to your line manager, Puma Energy Transport Coordinator or designated person. This includes 3rd party master data.
- Share the schedules with the security every evening before COB to ensure that there is no delay of truck entry into the terminal. Updated schedules should be shared with the security during the day.
- Generating of Truck Loading instruction (FAN) on TMS for Puma and all Other Oil Companies
- Secure the correctness of all road transport documentation. This includes verifying that the load code provided by Puma is aligned with the schedule as well as Salesforce. Ensure accurate details of the truck's registration number, driver name, and seal information on the FAN and constraint form.
- Make use of ePuma systems such as Salesforce and WinDMS to verify the accuracy of information. (Verification only). Any discrepancies should be flagged to the Puma team.
- Ensure that the FAN and Constraint forms of Bonded loads are clearly marked for loading purposes.
- Verify the manual export invoice – Bill of Lading, Constraint form, and driver details.
- New IM7 details with regards to the manual export invoice will be provided by Puma Energy.
- Balance and submit the Summary sheet daily. Ensure accuracy of balances per supplier and the meter.
- Flag all trips that did not interface to the ePuma systems as part of the stock control service provided to Puma Energy
- Maintain a Logbook / spreadsheet of all Truck Seals received and issued
- Ensure that daily filing is done accurately and maintain a neat working environment.
- Serve as the central contact for the dispatch desk and provide support for inquiries from Other Oil Company at the terminal, ensuring all relevant parties are engaged. Maintain a query log.
- Act as the liaison between the dispatch office, security and gantry supervisor or designated person.
- Secure timely responses to inquiries while upholding a professional communication etiquette with customers and drivers.
- Act as a relief for Rail Dispatch / Admin Clerk
Key Quality Responsibilities
- Implement HSE Policy in all dispatch operations.
- Ensure dispatch documentation complies with quality procedures.
- Monitor loading processes for adherence to HSE standards.
- Report non-conformities in dispatch operations to supervisors.
- Support corrective actions related to transport and logistics issues.
- Participate in HSE training and cooperate during audits.
- Ensure accurate recording of dispatch data for quality tracking
- Balance and submit the Summary sheet daily. Ensure accuracy of balances per supplier and the meter.

Knowledge, Skills and Abilities
- Possess an undergraduate degree in Supply Chain, Accounting or Business-related qualification
- Confirmed experience in Mining, Manufacturing or Oil & Gas
- Demonstrated ability in similar position preferably in Stocks management or transport logistics.
- Ability to work independently and with teams with sophisticated strengths.
- Good understanding of transport module
- Ability to generate and interpret stock reports
- Interpersonal skill and ability to lead others is helpful
- Proficient in English.
