Assistant Manager – Events (Job Description) Role summary: Support the planning and delivery of workplace/corporate events end-to-end. This role coordinates logistics, vendors, budgets, communications, and on-site execution to ensure events run safely, on time, and to stakeholder expectations. (Aligned with people-manager expectations to “review position need and job description” in the manager hub.)
Key responsibilities
- Plan and coordinate internal and client-facing events (townhalls, leadership visits, trainings, celebrations, employee engagement events).
- Create event plans and run-of-show documents (timelines, roles, checklists, contingency plans).
- Manage vendors and partners (caterers, AV, staging, transport, security, printers) including quotes, comparisons, and service-level follow-up.
- Coordinate event logistics: venue/space booking, seating, registrations/attendee tracking, signage, access/visitor management, and guest hospitality.
- Partner with AV/IT to ensure audio, video, presentation, and connectivity readiness for meetings and events. (AV support typically includes set-up and operational assistance for events.)2
- Support budget tracking and cost control; raise purchase requests/POs as applicable and ensure invoices are accurate and submitted on time.
- Ensure compliance with site policies, safety, and risk requirements (capacity limits, emergency procedures, food safety where relevant).
- Stakeholder management: collect requirements, align expectations, provide regular status updates, and close out with feedback/lessons learned.
- Maintain event calendars, templates, and standard operating procedures to improve consistency and efficiency.
- Support reporting on event performance (attendance, satisfaction, cost per attendee, vendor performance).
People & team support (if applicable)
- Guide and coordinate junior coordinators or event staff during planning and on-site execution.
- Allocate tasks, monitor progress, and provide coaching within established policies (manager-level coordination expectations).3
Required skills & qualifications
- Experience in corporate/workplace events, hospitality, or facilities/workplace experience operations.
- Strong vendor management and negotiation skills.
- Excellent organization, attention to detail, and ability to manage multiple events at once.
- Strong communication and stakeholder-management skills.
- Comfort working in fast-paced, on-site environments with occasional extended hours during events.
Preferred qualifications
- Experience supporting events in corporate offices or integrated facilities/workplace services environments.
- Familiarity with event registration tools and basic reporting.
