Under the supervision of the President, Home Energy, the Administrative Assistant will provide support to the Home Energy President and team members. The role will perform standard and advanced administrative duties requiring broad experience, skill, and a thorough knowledge of the organization’s policies and procedures.
This position will require onsite work at our Sheboygan, WI office.
Specific Responsibilities:
Manage and coordinate the President's complex calendar, including internal and external meetings, customer engagements, board-level interactions, leadership meetings, and VIP events.
Act as a trusted partner to the President, Home Energy, exercising discretion and confidentiality in handling sensitive business and personnel information.
Coordinate logistics, agendas, meeting materials, and event planning for Home Energy leadership meetings, customer engagements, and business events.
Manage and maintain SharePoint sites, calendars, Outlook distribution groups, Microsoft Teams channels, and executive presentations, ensuring critical business information is organized, accurate, current, and readily accessible across the Home Energy organization.
Assist with the onboarding and transition process of associates as it relates to hardware setup, workstation assignment (where applicable), and scheduling of introductions across the various business leaders.
Create, manage, and track purchase orders (POs), ensuring timely processing, accurate documentation, invoice reconciliation, and follow-through with vendors and internal stakeholders.
Coordinate travel arrangements, including detailed itineraries, transportation, lodging, and meeting logistics.
Prepare and submit expense reports in a timely manner
Manage the procurement and inventory of office supplies, business materials, equipment, and other resources as needed to support day-to-day business operations.
Support key initiatives or special projects as assigned.
Prepare, edit, and coordinate executive communications, presentations, reports, and meeting materials.
Serve as a primary point of contact for internal and external stakeholders, ensuring effective communication and follow-through on key business matters.
Requirements:
High School Diploma and 3-5 years administrative experience required.
Requires strong computer skills, flexibility, project coordination experience, excellent interpersonal skills, and ability to work well with all levels of internal and external contacts.
Must be a self-starter and work under minimal supervision.
Must pass Microsoft Office Assessments – Word (Advanced), Excel (Advanced) and PowerPoint (Intermediate).
Limited travel may be required on occasion to support special events or meetings
