Description
We're looking for an organised and detail-oriented Operations Associate to join our growing Operations team. In this role, you'll be responsible for the day-to-day operational processes that keep the business running smoothly, including:
- Maintaining the accuracy of commercial data in HubSpot CRM
- Ensuring reliable reporting for senior leadership
- Supporting our operations analysts with data tasks and workflow building
Working closely with teams including Account Management, Sales and Finance, you'll help ensure operational excellence, resolve data and process issues, and support the continuous improvement of our internal workflows.
As part of the role, you'll also take part in our Operations Associate Rotation Programme, giving you the opportunity to work alongside a different Operations Analyst each quarter on a high-impact business project. Through these rotations, you'll:
- Gain hands-on experience across different operational functions
- Develop valuable skills while contributing to meaningful business initiatives
- Build a broader understanding of how the business operates
- Discover where your interests and strengths are best suited as your career develops

Key Responsibilities ποΈ
- HubSpot data integrity: Perform regular data cleansing, updates, and maintenance within HubSpot to guarantee reliable data for sales forecasting and financial reporting.
- Commercial team support: Serve as the first point of contact for the Account Management team on operational queries, troubleshooting issues related to client invoicing and system data.
- Exception handling: Investigate and resolve complex client setups and billing exceptions that cannot be automated, applying business context to ensure correct outcomes.
- Process documentation: Collaborate with the senior Operations team to document existing manual workflows, contributing to our long-term goal of process improvement and automation.
- Ad-hoc reporting: Assist with data requests from leadership, pulling and organising information from our systems to support strategic decision-making.
- Team enablement: Provide the foundational capacity that allows the core Operations team to dedicate their time to high-impact strategic projects, such as automation and AI training.
Skills, Knowledge and Expertise π
- Meticulous attention to detail β the role handles critical financial and customer data where small errors can have a significant impact on revenue and reporting. You must be able to spot inconsistencies and ensure accuracy in your work.
- Proficiency with spreadsheets (Google Sheets or Microsoft Excel) for data organisation
- Clear & professional communication β you will be interacting daily with stakeholders from Account Management and Finance. The ability to explain issues clearly and concisely, both verbally and in writing, is essential.
- Systematic problem-solving β you will encounter non-standard issues (e.g. a complex invoice or a data discrepancy) that require logical thinking to resolve and has no clear answer. We need someone who can break down a problem and find a solution, not just follow a script.
- Exceptional organisation & time management β the role involves balancing recurring monthly deadlines with unpredictable, ad-hoc requests from other teams. You must be able to prioritise effectively and manage your time to ensure nothing is missed.
Experience Requirements
This is an entry-level or early-career position, ideal for someone with 0β2 years of experience in an operations, administrative, or coordination role. We strongly encourage recent graduates with relevant internship experience who can demonstrate the required skills and key traits to apply.
