Description
- Supervise, support, and coach scheduling staff to ensure daily operational goals are met.
- Monitor team performance and ensure KPIs, productivity metrics, quality standards, and scheduling goals are consistently achieved.
- Review scheduling activity and identify trends, opportunities for improvement, and performance gaps.
- Provide ongoing feedback, coaching, and accountability to schedulers.
- Assist with developing and implementing processes that improve scheduling efficiency and patient engagement.
- Escalate issues and provide solutions to leadership as needed.
- Spend 60% or more of working time onsite in scheduling operations.
- Travel throughout the assigned region to provide onsite training and coaching to schedulers.
- Conduct regular onsite audits to ensure scheduling processes, documentation, and program requirements are being followed.
- Evaluate scheduler performance and provide recommendations for improvement.
- Ensure onsite teams understand and consistently follow established workflows and expectations.
- Partner with onsite staff and leadership to resolve scheduling challenges and improve overall performance.
- Review patient information and scheduling opportunities to identify patients who may be eligible for the company's program.
- Ensure eligible patients are appropriately identified and routed through the required scheduling or enrollment process.
- Work closely with onsite teams to improve identification and engagement of eligible patients.
- Maintain accuracy and compliance when reviewing patient information.
- Perform hands-on patient scheduling as needed, including appointments, follow-ups, and other scheduling activities.
- Serve as a working supervisor who can step in and assist schedulers with complex or high-volume scheduling needs.
- Ensure accurate patient information, appointment details, and documentation are maintained in the appropriate systems.
- Help resolve scheduling conflicts and patient concerns.
- Maintain clear, professional, and consistent communication with schedulers, onsite leadership, providers, and internal management.
- Communicate performance expectations, process changes, and company initiatives effectively.
- Build strong working relationships with onsite teams and regional partners.
- Provide timely updates regarding staffing, performance, scheduling challenges, and opportunities for improvement.
- At least 1 year of patient scheduling experience required.
- Experience with an EMR/EHR system required.
- Previous supervisory, lead, or team-coordination experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time-management abilities.
- Ability to coach, train, and hold team members accountable to performance expectations.
- Comfortable analyzing KPIs, productivity reports, and other performance metrics.
- Ability to travel throughout the assigned region.
- Ability and willingness to work onsite 60% or more of the time.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently while also collaborating effectively with a team.
- Healthcare, medical office, or patient services experience preferred.
