Description
AI healthcare company backed by leading healthcare institutions and top-tier investors is looking for an Executive Assistant to support their Founder & CEO. This is an exciting opportunity to join a mission-driven team at an early, high-growth stage, working alongside AI researchers and world-class clinicians on technology built to get patients the right treatment at the right time. In this role, you'll own the CEO's calendar and scheduling, coordinate a heavy domestic travel schedule, prepare him for meetings, and act as a true partner who keeps his time aligned with what matters most to the company. You'll also help keep the executive team connected, provide ad hoc support to two other executives, and pitch in on light office coordination as the team settles into a new space. Someone who is proactive, fast-moving, and confident enough to push back, with the instinct to anticipate rather than wait for direction. This is a hybrid role, 3-4 days/week, based in Redwood City. 110 - 140k DOE + equity.
Responsibilities:
- Own and manage the CEO's calendar, making judgment calls on competing priorities and ensuring his time reflects the company's most important objectives.
- Coordinate a heavy domestic travel schedule that often spans multiple cities in a single week, including flights, hotels, ground transportation, and detailed itineraries.
- Prepare the CEO for meetings with agendas, briefing materials, and the context he needs to walk in ready.
- Look ahead at the calendar and travel schedule to proactively flag conflicts, low-value commitments, and trips that may not be worth the time.
- Act as connective tissue across the executive team, finding time for leadership to align and spotting opportunities when travel schedules overlap.
- Provide ad hoc scheduling and coordination support to two additional executives.
- Process expenses and manage reimbursements.
- Support light office coordination, including greeting guests and preparing conference rooms for executive meetings.
- Partner with the leadership team on company-wide moments such as board meetings and all-hands.
- Previous 5+ years of experience supporting a founder, CEO, or C-suite executive in a fast-paced environment, ideally at a high-growth startup.
- Exceptional organizational skills and attention to detail.
- Proactive and solutions-oriented with an instinct to anticipate needs rather than wait for direction.
- Strong strategic calendaring skills with the ability to assess priorities, read energy, and make judgment calls on scheduling without being asked.
- Proven ability to manage complex, high-volume domestic travel with accuracy and care.
- Excellent written and verbal communication skills, with the ability to interact with stakeholders at all levels, including clinicians, investors, and healthcare executives.
- Comfortable offering a point of view and pushing back, with the confidence to question whether a meeting or trip is the best use of an executive's time.
- Able to operate autonomously and move work forward without needing repeated direction or sign-off.
- Thrives in ambiguous environments where the playbook is still being written and is excited to bring new ideas on how to work together.
- Flexible and responsive, with the understanding that some requests will fall outside standard hours given the executive's travel schedule.
- Proficient with the Microsoft suite, including Outlook and Teams; experience in a Microsoft-first environment is strongly preferred.
- Interest in healthcare, life sciences, or AI is a plus, though industry experience is not required.
