Position Summary
Larson Automotive Group is seeking a friendly, organized, and dependable Rental Car Agent to join our team at Toyota of Tacoma.
This position plays an important role in supporting our Service Department and overall customer experience by assisting customers with rental and loaner vehicles while their vehicles are being serviced or repaired.
The Rental Car Agent is responsible for providing excellent customer service, accurately completing rental documentation, coordinating vehicle availability, inspecting vehicles, maintaining accurate records, and helping ensure our rental fleet is clean, organized, properly accounted for, and ready for our customers.
The ideal candidate is professional, detail-oriented, comfortable working in a fast-paced dealership environment, and able to communicate effectively with customers, Service Advisors, technicians, managers, and other dealership employees.
Essential Duties and Responsibilities
- Greet customers in a friendly and professional manner and assist with the rental/loaner vehicle process.
- Complete rental agreements and required documentation accurately and completely.
- Verify driver's license, insurance, contact information, and other required documentation.
- Explain rental vehicle policies, fuel requirements, return procedures, customer responsibilities, and any applicable charges.
- Coordinate rental and loaner vehicle availability with the Service Department.
- Maintain accurate records of vehicles that are rented, returned, available, being cleaned, undergoing maintenance, or otherwise out of service.
- Perform and document vehicle inspections at checkout and return, including mileage, fuel level, cleanliness, and visible damage.
- Promptly report vehicle damage, maintenance concerns, warning lights, accidents, or other issues to management.
- Check vehicles in and out and ensure keys are properly tracked and secured.
- Help ensure rental vehicles are clean, fueled, safe, and ready for the next customer.
- Coordinate vehicle cleaning, fueling, maintenance, and repairs as necessary.
- Communicate professionally with customers regarding rental extensions, vehicle returns, charges, or other rental-related questions.
- Work closely with Service Advisors and other dealership departments to provide a smooth customer experience.
- Process rental payments or charges when applicable and maintain accurate transaction records.
- Safeguard customer information, vehicle keys, company property, and confidential information.
- Maintain an organized and professional rental counter and work area.
- Follow all company safety, customer-service, timekeeping, confidentiality, and workplace policies.
- Perform other duties as assigned to support dealership operations.

Requirements
- High school diploma or equivalent preferred.
- Previous customer service, rental car, dealership, hospitality, or administrative experience preferred but not required.
- Strong customer service and communication skills.
- Excellent attention to detail and organizational skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Comfortable using computers and learning dealership and rental software.
- Dependable attendance and punctuality.
- Ability to work independently while also contributing to a team environment.
- Ability to maintain professionalism when assisting customers with concerns or difficult situations.
- Valid driver's license required because operating and moving rental and dealership vehicles is an essential function of this position.
- Must meet company requirements for safely operating dealership vehicles.
- Ability to safely operate a variety of passenger vehicles.
Physical Requirements
This position requires periods of sitting, standing, walking, bending, reaching, and entering and exiting vehicles throughout the workday.
The employee must be able to safely operate passenger vehicles and may periodically work outdoors in varying weather conditions while inspecting, moving, fueling, or preparing vehicles.
