Description
The Title Clerk serves as a key point of contact for title-related inquiries from dealers, internal departments, customers, third-party vendors, and state agencies. This role is responsible for dealer support through inbound and outbound communication, documents account activity, follow up on outstanding title requirements, and assists with resolving title exceptions. The position works collaboratively with internal teams and is cross trained to provide support for imaging services, mail room services, custody collateral, and front desk coverage.
This position reports to the Title Manager and works in close conjunction with the Records & Custody Department, Remarketing Department, Autonation dealerships, and internal teams including Sales, Funding, Servicing, and Accounting. The successful candidate is detail-oriented, organized, self-directed, and demonstrates strong communication and problem-solving skills while performing all duties in accordance with company policies, procedures, and applicable state and federal regulations.
Job Responsibilities:
- Prepares lien satisfactions and responds to requests from 3rd Party companies upon request.
- Reviewing titling documents such as registrations and lien notices for completeness and accuracy
- Oversees title custody exceptions and follows up on needed title work or corrections
- Provides support of title activities including, but not limited to:
- Aging Titles
- Title Perfections
- Follows up on pending titles and title documents not received within an appropriate timeframe
- Generates any outbound correspondence to our dealer partners or 3rd party vendors in relation to titles
- Handles customer service requests as they relate to titles
- Works closely with other team members in Custody to ensure all title- related tasks are addressed timely.
- Communicates to necessary internal parties when collateral problems arise
- Communicates to customers as needed to clarify requirements requested from DMV
Perform special projects, audits or other related work as required or requested by Title Manager or VP of Collateral & Document Custody.

Qualifications:
- Minimum of a High School diploma or equivalent.
- Previous work experience in an office setting is preferred. Prior knowledge in the car dealership, automobile/auction industry, or DMV documents/DMV verbiage is a plus.
- Must meet company’s requirements for employment.
Machines, Office Equipment & Software:
- Web navigation and/or web-based applications.
- Personal computer: Imaging software, Microsoft Word, Excel, and Outlook. Excel skills must be mid- level to advanced.
- 10-key calculator and QWERTY keyboard skills.
- Scanner, copier, mail postage machine & other general office equipment.
Physical Requirements:
- Ability to lift boxes (max. 5 pounds)
