Purpose of Position:
The Exam Prep Administrator is responsible for overseeing and managing the exam prep candidate experience (virtual or in-person). This role ensures smooth facilitation of training classes, accurate tracking of attendance and performance, and effective communication with agents and leadership. The Administrator also provides guidance, manages exam scheduling, and handles post-training administrative responsibilities.
Responsibilities
- Training Class Management:
- Co-Facilitate, with Exam Prep Facilitator, and support daily class sessions, ensuring engagement and adherence to expectations.
- Collaborate with facilitators and leadership to maintain training standards.
- Attendance & Performance Tracking:
- Record and monitor attendance, addressing any discrepancies or issues.
- Track and review performance data, sharing insights with relevant stakeholders.
- Coaching & Candidate Support:
- Provide individualized guidance and support to candidates during training.
- Address concerns or inquiries promptly and professionally.
- Exam Scheduling & Administration:
- Coordinate and manage exam scheduling, tracking results and related data.
- Oversee the administrative processes required for exam completion and certifications.
- Communication & Reporting:
- Maintain clear communication with leadership, candidates, and colleagues regarding progress and outcomes.
- Prepare and deliver regular updates and reports.
- Post-Training Audits & Follow-Up:
- Review and audit class records for accuracy and completeness.
- Facilitate processes for retesting or continued support as needed.
- Support & Professional Development:
- Provide support to colleagues and assist with training-related tasks.
- Participate in ongoing learning and contribute to process improvements.
Qualifications
- Experience in training/ administrative/customer service within a call-center environment is a plus.
- Training hours are 9:00 AM–5:30 PM EST or 10:00 AM–6:30 PM EST. When not in class: 8AM–5PM in local time zone.
- Must have a High School Diploma
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Excel, Word, Teams) and Google Workspace (Sheets, Docs, Meet).
- Attention to detail with a high degree of accuracy.
- Ability to thrive in a fast-paced, dynamic environment.
- Effective problem-solving and decision-making skills.
- Capability to learn and use various software platforms.
- Must be able to pass background check
