Description
We are seeking a highly organized and detail-oriented Sales Coordinator to support the Sales Team at Canad Inns. This role is ideal for a professional who thrives in a dynamic hospitality environment and is passionate about delivering exceptional service and building meaningful relationships.
As a key member of the Sales Team, the Sales Coordinator will contribute to a seamless experience for clients, guests, and internal stakeholders through effective communication, strong organizational abilities, and a proactive approach. The successful candidate will bring professionalism, adaptability, and a collaborative mindset while supporting the continued growth and success of all Canad Inns Destination Centres.
Key Accountabilities/Responsibilities:
- Perform general office duties to support Sales (e.g., filing, sending emails, typing, copying).
- Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, event orders and floor plans).
- Maintain accurate profiles and databases of all accounts.
- Input client decision information based on input and direction from the Sales Manager.
- As a key contact with our clients, use sales techniques that maximize revenue while working with and communicating with guests on event details.
- Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, promotions, restaurants, special events).
- Responsible for answering Destination Centre direct inquiries.
- Assist in the organization, coordination and execution of specific functions handled by the Sales Team (e.g., familiarization tours, client events, sales calls, etc.).
- Prepare and execute weekly distribution to Destination Centres.
- Attend and participate in Sales training and meetings as required.
- Promote awareness of the Canad Inns brand image internally and externally.
- Present a professional image through effective written and verbal communication skills.
- In the absence of the Sales Managers, serve as a resource or contact for internal and external stakeholders.
- Assist in market research, identify and communicate trends, major shifts and business focus of key market segments.
- Responsible for office administrative duties including organizing site visits, processing purchase orders, ordering supplies, report generation as needed, and participating in phone coverage.
- Handle select projects as required by Corporate Sales.
- Answer telephones, qualify lead inquiries, direct calls and relay messages in a timely manner.
- Maintain all sales systems, such as sales records and reports, conference calendars, traces of history and potentials, logs of groups not previously accommodated, and mailing lists.
Qualifications:
- Previous experience in hospitality, sales, event coordination, customer service, administration, or a related field is preferred.
- Proficiency in Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint. Experience with a Sales & Catering program, Property Management System (PMS), or similar hospitality systems is considered an asset.
- Excellent verbal and written communication skills, with the ability to prepare professional correspondence and communicate effectively with a variety of stakeholders.
- Demonstrated commitment to delivering exceptional customer service and building positive relationships with guests, clients, and colleagues.
- Proven ability to manage multiple priorities and deadlines in a fast-paced hospitality environment.
- Strong organizational skills with a high level of accuracy, attention to detail, and follow-through.
- Demonstrated ability to work collaboratively in a team-oriented environment.
- Demonstrates accountability and a proactive approach to problem-solving.
- Ability to represent Canad Inns professionally while providing exceptional service to both internal and external customers.
