Overview
In 1971, Yale University established Yale Health to provide health services to its facility, staff and students through a multidisciplinary health maintenance organization located on campus. Yale Health has more than 50,000 members including students, staff, faculty and their families who come from every state in the country and almost every country in the world. With over 50 years of service to the Yale community, our state-of-the-art facility at 55 Lock Street, is where our members receive most of their care from our 150+ providers. It is a 144,000 square foot medical facility with over 90 exam rooms, an Acute Care Department, a 15-bed inpatient facility with two negative pressure rooms, a diagnostic imaging suite including MR and CT scan, x-ray and ultrasound and a full-service retail pharmacy.

The Medical Assistant (MA) 2 –  is a member of the clinical team who helps ensure seamless, coordinated, and compassionate care at every patient encounter. This role is also responsible for the coordinating managing high-level, complex surgical scheduling.

Responsibilities include:

Clinical/MA Duties (50-75%)

  • Acts as a key resource providing ongoing training and support for MAs while assisting medical staff and clinicians in resolving patient conflicts and complex care issues.

  • Identifies areas for improvement in workflow, systems, coverage and continuity of care issues.

  • Effectively and appropriately communicates recommendations and suggestions to management.

  • Ensures clinic is running at optimal efficiency and staffed appropriately.

  • Ensures all examination rooms and clinical areas are appropriately stocked, all equipment is properly maintained and in compliance with requirements.

  • Determines appropriate inventory levels and maintain levels in anticipation of clinic needs.

  • Selects, sets up, and maintains medicals supplies and equipment.

  • Prepares patients for continuing care after treatment and ensures continuity of treatment plan.

  • Schedules and coordinates patient and test appointments, as needed.

  • Provides alternative solutions to problems and offers resolutions to scheduling issues and conflicts.

  • Provides physical care and carries out therapeutic and medical regimens.

  • Obtains patient history and medical information.

  • Assesses, reports and records vital signs and measurements.

  • Collects specimens.

  • Observes patients for physical or emotional changes.

  • Report observations.

  • Facilitates timely processing of referrals for internal and external vendors.

  • Coordinates and oversees preceptorship, mentoring, orientation and training for new MAs. 

  • Oversees chart preparation and adherence to visit type guidelines to support and improve efficiency for each clinician’s schedule.

  • May provide additional administrative support, including front desk coverage, as directed.

Surgical Coordinator (25-50%)

  • Performs high level scheduling for surgeries.

  • Collaborate with primary care departments to schedule pre-operative testing.

  • Schedules test, procedures, lab work, and specialized appointments ensuring the appropriate sequence of tests and procedures.

  • Ensures patients are provided with specialized instructions.

  • Schedule pre-op and post-operative visits if necessary.

  • Collaborate with Inpatient Care to coordinate patient transfer post-procedure/hospitalization.

  • Notify surgeons and office staff of schedules and any changes

Schedule/Shift: Full Time – 37.5 hours, weekdays. Evenings, weekends, and recess/holidays may also be required. Onsite role. 

Required Skills and Abilities

1. Experience in a hospital or outpatient setting.  Ability to work independently, demonstrating sound judgment and attention to detail.

2. Experience in Point of Care Testing (POCT) and proficiency in clinical data collection and phlebotomy.

3. Proficiency in the use of Electronic Medical Records (EMR) systems.  Certification in Basic Life Support (BLS).

4. Experience with set-up and assisting with minor surgical procedures using sterile techniques.  Must be flexible and willing to learn new procedures and processes.

5. Experience with specific clinical tasks like phlebotomy, specimen collection, and assisting with clinical procedures.

6. Highly motivated, articulate team player with excellent independent judgment abilities, organizational and follow-through skills.

7. Outstanding interpersonal skills with an emphasis on customer service and the ability to develop positive working relationships and work collaboratively in a team.  

8. Ability to coordinate multiple tasks in a fast-paced clinical setting with a calm and pleasant personality.

Principal Responsibilities

Ensures staffing levels are sufficient, all examination rooms and clinical areas are appropriately stocked, all equipment is properly maintained and in compliance with requirements. Determines appropriate inventory levels and maintain levels in anticipation of clinic needs. 5. Selects, sets up, and maintains medicals supplies and equipment. Serves as a resource for medical staff and clinicians in order to resolve patient conflict and other complex and challenging care issues. 6. Prepares patients for continuing care after treatment and ensures continuity of treatment plan. Schedules and coordinates patient and test appointments, as needed. Provides alternative solutions to problems and offer resolutions to scheduling issues and conflicts. 7. Provides physical care and carries out therapeutic and medical regimens. Obtains patient histories and medical information. Assesses, reports and records vital signs and measurements. Collects specimens. 8. Observes patients for physical or emotional changes. Report observations. Facilitates timely processing of referrals for internal and external vendors. 9. Coordinates and oversees preceptorship, mentoring, orientation and training for all new medical assistants within the section. Develops training curriculum. Oversees chart preparation and adherence to visit type guidelines in order to support and improve efficiency for each clinician’s schedule. 10. Enters registry data as required and on a timely basis. May provide training and oversight to other medical assistants as registries continue to develop. May provide additional administrative support, including front desk coverage, as directed.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Required License(s) or Certification(s)

Certification by the American Association of Medical Assistants of American Registry of Medical Assistant (or the ability to get certification/registration within 90 days of employment).

Health Requirements

This role is a healthcare worker position.
