Position Summary

The Federal Affairs Coordinator will work under the direction the Senior Vice President, Federal Affairs to provide administrative and operational support to the Federal Affairs team. This role will support the team with coordinating meetings and events, creating and preparing meeting materials and presentations, tracking proposed legislation and amendments, as well as managing and updating the team’s database. In addition, the Coordinator will conduct research and provide background data on the industry, member companies, and federal policy and legislation to support conversations with policymakers. Tasks will also include support for daily team operations – from government affairs, to the PAC, to grassroots – including performing general administrative duties, supporting and planning internal and external communications, scheduling/calendar updates, meeting notes, coordinating events and meetings, other special projects as needed.

The Coordinator will interact with all levels of staff within ACP, across all departments and disciplines, and with key external stakeholders and members. Excellent communication skills, professionalism, organizational skills and a desire to learn the industry are necessary attributes for this position. The renewable energy industry is a fast paced, emerging space and ACP’s Advocacy team reflects that and manages priorities accordingly. Essential Functions/Major Responsibilities

  • Provide administrative support to the Federal Affairs team including database management for the lobbying team, the PAC, and the grassroots program; manage subscriptions; complete shipping and mailings; schedule and assist with preparation for internal and external, virtual and in person meetings; and perform other administrative duties as needed.
  • Respond to requests for information from the Federal Affairs team and policymakers, pulling from ACP’s published works and internal data to create factsheets and presentations tailored to the specific event, as needed.
  • Support Federal Affairs committees by maintaining databases of committee members, facilitating communications to committee members, scheduling meetings with committees, and coordinating logistics.
  • Prepare committee meeting agendas, securely distribute supporting documents, create presentations, and take notes at committee meetings and on committee conference calls as requested.
  • Work with the ACP Federal Affairs and Operations teams to facilitate the annual fly-in day, invited guests to ACP-led meetings, and thought leadership forums throughout the year. Assist with invitations to events as needed and determine who should send the invite.
  • Assist the SVP, Federal Affairs with monitoring consultants’ contracts and invoices to ensure that contracts are submitted and approved through ACP’s contract management system, that the contracts are up-to-date, and invoices are coming in and being processed in a timely manner.
  • Prepare and file electronic or paper copies of reports, minutes, proposals, project files, organizational files and other documents as requested and maintain team file archives on ACP’s shared drive.
  • Research legislation, opposition groups, legislator voting records, and other items as needed.
  • Assist with preparing new content and pulling existing content as needed for educational webinars.
  • Support the ACP internship program when needed by updating intern position descriptions, reviewing applications, and conducting interviews in partnership with the Federal Affairs team and Human Resources.

 

Education, Experience, Skills

  • Bachelor’s degree in political science, public policy, economics, environmental science, or a related field required.
  • 1-2 years of administrative and team coordination experience; experience interning or working in Congress or at a trade association is highly preferred.
  • Effective coordination and administrative support skills, including coordinating meetings, preparing team documents and materials, tracking updates, and maintaining databases.
  • Excellent oral, written, and interpersonal skills, with the ability to communicate and interact professionally with team members, policymakers, and external stakeholders.
  • Demonstrated ability to manage multiple priorities and meet deadlines, with strong attention to detail, organization skills, and follow-through.
  • Ability to develop and manage assigned projects independently and handle multiple tasks simultaneously.
  • Collaborative approach with the ability to build relationships across all teams and levels of the organization.
  • Ability to identify problems or inefficiencies, research alternatives and improvements, and recommend solutions.
  • Demonstrated analytical and conceptual thinking skills.
  • Ability to adapt and respond to change quickly in a fast-paced environment.
  • Interest in and willingness to learn about the renewable energy industry and federal policy.
  • Proficiency in MS Office (Word, Excel, Outlook, SharePoint) required; familiarity with Adobe Pro, Salesforce, ProTech (or similar CRM software), or Fiscal Note (or similar legislative tracking software) preferred.
  • Ability to travel 10-15% for work events, conferences, and other member-related activities.

 

Job Conditions

We are a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This position may experience high-level work demands and independent decision-making under tight timelines. Regular travel across the country for meetings or events may be required. Applicants must be currently authorized to work in the United States on a full-time basis. ACP will not sponsor applicants for work visas.

We reasonably believe that the base salary range for this position is $55,000 – 65,000 annually. At ACP, a wide range of factors are considered when making compensation decisions including and not limited to skill set, experience, training, education, knowledge, and other business and organizational needs.
