The Specialist, Delaware Operations serves as a representative for the College to support Delaware Campus functions. This role supports the Senior Director for the Delaware Campus and Regional Learning Centers (RLC’s) to ensure the locations’ operational strategies and goals are achieved. The Specialist may work closely with the Program Coordinators at the Delaware Campus on tasks including but not limited to data documentation, event rentals/reservations, academic planning and scheduling, submitting work orders. This role supports the campus’s strategic goals by maintaining safe, functional, and welcoming instructional, administrative, and event spaces for students, faculty, staff, and visitors.

ESSENTIAL JOB FUNCTIONS

Operational Support

  • May perform administrative duties associated with operational support including, but not limited to, processing forms and data entry, supporting the room reservation and rental process, coordinating external events on campus, assisting with ad hoc facility requests, and other associated tasks, as necessary. This may also include supporting facility projects at the location by gathering information and data, compiling processes, assembling timelines, and providing communication to affected partners as directed.
  • May coordinate and assist with operational logistics for events and programs hosted by the Delaware Campus; help maintain an operational policy and procedure manual for the Delaware Campus; complete daily facility rounds, notate any operational adjustments needed, place work orders for facilities and janitorial services, and send a daily report to the Senior Director for review; and serve as a campus liaison for food and vending services.
  • May perform administrative duties associated with supporting students, faculty, and staff, including but not limited to, processing forms, directing ad hoc requests for support services, data entry, and other associated tasks, as necessary. This may also include supporting services offered at the location, such as testing center, library services, tutoring, student activities, etc. and assisting with events and programs hosted by the Delaware Campus and RL’Cs.
  • May provide general information about campus services and resources, student life, and opportunities for campus involvement. May provide general student outreach and assist with enrollment campaigns, gather data, and provide outcomes to the administrative team.

Customer Service & Administrative

  • Provides in-person, front-line professional customer service for internal and external customers including but not limited to community members, students, faculty, staff, and administrators. Answers questions, phone calls, emails, and other communication in a timely manner.
  • Responds to inquiries, identifies needs, answers questions, provides information, and facilitates operational assistance, when necessary. Handles general student inquiries and makes referral to appropriate campus resources. Answers phones, routes calls, and takes messages. Provides assistance to other areas, when necessary, and responds to questions.
  • Retrieves and analyzes data reports for the Delaware Campus. Researches, compiles, and formulates facility data for reporting measures. Maintains accurate records, organization, and files. Maintains confidentiality of all sensitive information and records.

Schedule

  • Hours may include working outside of a normal workweek schedule with non-traditional work hours such as 11 am-7 pm/12 pm-8 pm.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED

  • High School Diploma or GED
  • One (1) year of experience in customer service.
  • State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
  • *An appropriate combination of education, training, coursework, and experience may qualify a candidate.
