The Spirit of the Position
As an Administrative Assistant, you are the first impression of LAZ Parking. You serve as the primary voice of the organization by delivering exceptional customer service to employees, clients, customers, vendors, and visitors through both telephone and in-person interactions.

You are comfortable managing a high volume of incoming calls, handling customer inquiries, resolving routine concerns, directing requests efficiently, and ensuring every caller feels heard and valued. You consistently demonstrate exceptional phone etiquette, professionalism, responsiveness, and a customer-first mentality.

What You'll Do
Customer Service & Communications
- Serve as the primary point of contact for all incoming telephone calls and office visitors.
- Answer incoming calls promptly, professionally, and courteously.
- Provide exceptional customer service to customers, clients, employees, vendors, and guests.
- Maintain a friendly, positive, and solution-oriented demeanor during all interactions.
- Screen, prioritize, and accurately route calls to the appropriate department or team member.
- Take detailed and accurate messages and ensure timely communication and follow-up.
- Monitor and manage voicemail communications.
- Professionally handle routine customer concerns and inquiries.
- Escalate customer issues appropriately when necessary.
- Assist callers by providing information regarding services, locations, and general company inquiries.
- Demonstrate active listening skills to fully understand customer needs and concerns.
- Maintain professionalism and composure during difficult or challenging customer interactions.
- Greet visitors and guests in a welcoming and professional manner.
- Ensure all visitors receive prompt assistance and are directed appropriately.
- Represent LAZ Parking positively through every in-person and telephonic interaction.
Office Administration
- Open, sort, and distribute incoming mail and deliveries.
- Organize and maintain the mail and delivery area.
- Maintain office supply inventory levels.
- Process office supply orders and restock common office areas.
- Maintain organized administrative records and files.
- Assist with routine office coordination and administrative support activities.
Financial & Administrative Support
- Code and process invoices accurately and timely.
- Run reports and review Accounts Receivable notes.
- Assist with administrative reporting and documentation.
- Support data entry and record maintenance activities.
- Provide administrative assistance to department leaders and team members as needed.
Team & Operational Support
- Collaborate with operational and administrative teams to support business objectives.
- Assist with special projects and departmental initiatives.
- Support process improvements that enhance efficiency and customer service.
- Perform other related duties and responsibilities as assigned.

Qualifications
Required
- High School Diploma or GED equivalent.
- Minimum one (1) year of customer service, receptionist, front desk, administrative, or office support experience.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities while maintaining accuracy and professionalism.
Preferred
- Two (2) or more years of receptionist, administrative assistant, customer service, or call center experience.
- Experience operating multi-line telephone systems.
- Experience supporting a fast-paced office environment.
- Experience handling high-volume inbound customer inquiries.
- Experience providing both in-person and telephonic customer support.

Physical Requirements
