Description
The Operations Specialist plays a critical role in enabling a high-performing creative organization responsible for video production, motion graphics, design, and multimedia content delivery.
Reporting to the Director of Operations, this role focuses on supporting operational excellence through process optimization, workflow management, documentation, governance, and team enablement.
This position serves as the operational backbone of the creative team, ensuring that the systems, processes, tools, and standards supporting project delivery are efficient, scalable, and consistently applied. The ideal candidate is highly organized, process-oriented, detail-focused, and excels at collaborating across teams to drive alignment and continuous improvement.
While closely partnering with Corporate Communications leaders and existing creative team members, this role is focused on improving how work gets done.
Key Responsibilities:
Operations & Process Excellence
Develop, document, and maintain creative team workflows, standard operating procedures (SOPs), playbooks, and best practice guides.
Evaluate existing processes and identify opportunities to improve efficiency, consistency, scalability, and quality.
Contribute to the adoption of operational standards and ensure alignment across creative functions.
Support the evolution of creative operations processes to accommodate changing business and stakeholder needs.
Establish governance frameworks for project intake, prioritization, approvals, and workflow management.
Workflow Management & Team Enablement
Partner with the existing project manager and creative team leads to support efficient movement of work through the creative production lifecycle.
Monitor workflow health and identify bottlenecks, risks, capacity constraints, or process breakdowns.
Manage and optimize project intake processes, ensuring requests are appropriately documented, routed, and prioritized.
Support resource planning efforts through reporting, workflow visibility, and operational insights.
Ensure project management systems, templates, and operational tools are maintained and leveraged effectively.
Documentation & Knowledge Management
Create and maintain documentation that supports operational excellence, consistency, and team effectiveness.
Develop training materials, onboarding resources, templates, and process guides.
Maintain centralized repositories for team knowledge, standards, and documentation.
Promote best practices and continuous improvement across the creative organization.
Reporting & Insights
Track and report on key operational metrics, workflow trends, capacity indicators, and process effectiveness.
Provide actionable insights and recommendations to leadership based on data and team feedback.
Support leadership in identifying opportunities to improve team performance and operational maturity.
Create dashboards and reporting mechanisms that provide visibility into team operations.
Cross-Functional Collaboration
Build strong partnerships with stakeholders across Marketing, Communications, HR, IT, and other business functions.
Facilitate discussions that help align teams on processes, expectations, and ways of working.
Serve as a trusted resource for operational guidance and process-related questions.
Support change management efforts related to workflow, processes, and operational initiatives.
Qualifications
Required
3–5+ years of experience in operations, project operations, creative operations, program coordination, or related roles.
Experience supporting creative, marketing, communications, or production teams.
Exceptional organizational skills and attention to detail.
Strong process management and documentation capabilities.
Demonstrated success identifying and implementing process improvements.
Excellent written, verbal, and interpersonal communication skills.
Ability to influence and collaborate across multiple teams and stakeholder groups.
Strong analytical and problem-solving mindset.
Preferred
Experience working within an in-house creative team, agency, marketing organization, or media production environment.
Familiarity with project and workflow management platforms such as Asana, Monday.com, Workfront, Jira, or similar tools.
Experience developing SOPs, governance frameworks, training materials, and operational documentation.
Understanding of creative production workflows, including video, motion graphics, and design projects.
Experience building operational reporting and performance dashboards.

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 56,000 USD - 78,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
