NE05Position Summary
The Academic School Administrator oversees the daily administrative, operational, and fiscal functions of the academic school, ensuring efficient workflows and compliance with College, state, and federal requirements. The position manages office operations; coordinates HR, payroll, scheduling, and inventory tasks; and supervises assigned administrative staff and student employees. Serving as a primary point of contact for internal and external stakeholders, the Specialist supports departmental projects, initiatives, and communications by coordinating activities, tracking deadlines, and ensuring timely follow‑up. The role also facilitates cross‑departmental communication, maintains departmental records, and provides comprehensive administrative support to the Dean and academic unit.Duties & Responsibilities
- Supervise assigned administrative staff and student employees, including training, scheduling, performance management, leave approval, and timesheet review in accordance with College policies and procedures.
- Manage daily department office operations and provide direct administrative support to the Dean, including coordinating administrative services, maintaining calendars, scheduling meetings, arranging travel, and handling confidential information.
- Coordinate department meetings, committees, and special events, including meeting logistics, agendas, minutes, and follow-up on action items.
- Coordinate departmental budget and purchasing activities, including processing purchase requests, tracking expenditures, maintaining financial records, preparing reports, and ensuring compliance with applicable College, state, and federal requirements.
- Oversee or perform HR, payroll, scheduling, and inventory management tasks as assigned, ensuring compliance with College procedures and providing oversight based on the Dean’s direction and departmental needs.
- Maintain departmental records and documentation in accordance with College and New Mexico records retention requirements, ensuring accuracy, organization, and compliance.
- Provide administrative support for departmental projects, initiatives, events, communications, and faculty-related activities by coordinating logistics, preparing correspondence and reports, tracking deadlines, and following up on assigned activities.
- Serve as a liaison between the academic unit and College departments to facilitate communication, information sharing, and operational coordination.
- Maintain departmental administrative records and data, including professional development activities, memberships, and other operational information, and prepare routine reports as needed.
- Perform other related duties as assigned.
Minimum Qualifications:
- Associate's Degree
AND
- Three (3) years of related experience
Preferences:
- Experience coordinating the work of employees, teams, or student workers.
- Experience managing budgets, including tracking expenditures, monitoring, and reconciliation.
- Demonstrated ability to provide high-quality customer service in a complex work environment.
- Bilingual or multilingual proficiency
