World Vision International Nepal’s one-year Traineeship Program, running from January to December, provides fresh Nepali graduates with practical work experience, professional development, mentoring, and opportunities to contribute to WVI Nepal’s work while gaining valuable skills and experience for their future careers.
The main purpose of the P&C Trainee is to support the effective functioning of the People & Culture (HR) Department. The trainee will have the opportunity to learn from all functions of the department, including systems administration, recruitment and onboarding, maintaining employee records, supporting employee engagement activities and preparing HR documents.
The traineeship provides hands-on experience for a recent graduate to start their career in Human Resources (HR), working for an international NGO while developing organizational and interpersonal skills. They will have the opportunity to learn more about World Vision International Nepal and contribute to the organization’s strategic goal of working with the most vulnerable children and families.
MAJOR RESPONSIBILITIES
Ensure the proper documentation of end-to-end employee cycle processes
Creation and maintenance of digital staff files and employment paperwork
Maintain proper filing system
Provide administrative support to ensure employee’s information (onboarding, exit docs) is in place
Ensure the required documents are in place before and after onboarding of new staff
Prepare all documents for exiting staff, including administrative work (e.g. printing letters, certificates, etc.)
Ensure all documents are in place with 100% accuracy as per the checklist
Ensure new hires complete the orientation within 45 days of their joining date
Support to deliver high quality end-to-end recruitment processes
Schedule and inform candidates for the written test and interviews
Support in conducting written test
Conduct pre-employment checks including references, identity checks, and qualification checks.
Provide timely communication to the candidates, such as regret letters.
Timely coordination and communication with the relevant stakeholders (Hiring Manager, P&C Team and Candidates) for the written and interview assessment
Support the administration of written assessments, including the coding and decoding of answer sheets, ensuring confidentiality of the process
Conduct pre-employment checks, including references, Block Party Screening, Police clearance, and other qualification checks.
Team Support and Customer Service
Ensure the People & Culture Intranet site is up to date with appropriate information, forms and resource tools
Support in handling medical claims by coordinating with service providers and employees to ensure timely communication, accurate processing of claims and enrollments, and efficient resolution of insurance-related queries.
Work with peers to manage workloads and support achievement of department objectives
Identify, build relationships and work with key internal and external stakeholders to ensure effective delivery of support services and information
Contact point for People & Culture general enquires, directed to appropriate team member for response
Take initiative and be proactive in identifying and resolving the needs of the People and Culture team
Contribute to People & Culture projects as agreed with supervisor
Ensure systematic P&C processes for efficient operations
Provide end user support for P&C Systems
Demonstrate personal and professional growth
Spend time learning specific skills and capabilities to enhance the capacity in different functions under People and Culture Department
Apply the learning within the work scope
KNOWLEDGE/QUALIFICATIONS FOR THE ROLE
Required Education, training, license, registration and certification
Bachelor’s Degree in Business, Management, Human Resource Management or the relevant field
Basic knowledge of administration
Preferred Knowledge and Qualifications
Strong clerical, computing and organizational skills, in particular use of Microsoft Office Programs.
Knowledge of team administration and business processes
Proficient written and verbal communication skills in both English and Nepali including across cultures
Good systems ability
Strong problem-solving skills
Strong attention to detail
Resourcefulness, adaptability, and flexibility
Strong interpersonal skills, including the ability and commitment to listen to others
