We are looking for an elite, highly organized, and polished Executive Assistant to act as the right hand to our General Manager and seamlessly support our Board of Directors.
The Role
As the Executive Assistant, you are the central hub of administrative operations and the welcoming face of our executive suite. This is a high-impact role requiring strong communication skills, absolute discretion, and a passion for premium service.
Key Responsibilities
- Executive Support: Manage the General Manager's calendar, prioritize daily tasks, filter executive communications, and coordinate travel logistics.
- Board & Committee Liaison: Coordinate monthly Board of Directors and committee meetings, compile agenda packages, and record accurate meeting minutes. Interact with the membership committee as well as current and prospective members.
- Member Communications: Draft, proofread, and distribute official announcements and executive club updates.
- Administrative Management: Maintain electronic and physical filing systems, reconcile executive expense reports, and track departmental budgets.
- Department Collaboration: Act as a bridge between the General Manager and Department Heads.
What We're Looking For
- Experience: Minimum 3-5 years of executive-level administrative experience, ideally within a private country club, luxury resort, or high-end hospitality environment.
- Discretion: Proven ability to handle highly confidential member, staff, and financial information with utmost professionalism.
- Tech-Savvy: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with club management software (e.g., Northstar, ClubEssential) is a strong plus.
- Soft Skills: Immaculate written and verbal communication, sharp attention to detail, and a calm demeanor under shifting priorities.
- Availability: Primary schedule is Monday through Friday, with flexibility to work occasional evenings to support Board meetings or signature club events.
